Office Manager / HR & Finance Administrator
Location: Baltimore-Washington Area (full-time virtual position)
Salary: $85,000–$105,000 annually, commensurate with experience

After more than 20 years of exceptional service, our Office Manager is retiring. She has been the operational foundation of our company, supporting our employees, managing our business operations, and helping keep everything running smoothly. We are looking for someone who is ready to step into that trusted role and become an integral part of our team.
This is not a traditional office manager position.
As the primary administrative professional in our company, you will oversee many of the business functions that keep our organization operating efficiently. You will have a direct line of communication with the company President and serve as his closest advisor on many administrative matters. You will work directly with company leadership and become a trusted resource for employees while handling highly confidential information with professionalism and discretion.
What You'll Do
This position touches nearly every aspect of our business. Responsibilities include:
- Process payroll and maintain payroll records
- Manage accounts payable and accounts receivable
- Assist in preparing financial reports and coordinate with our Accounting firm
- Administer employee benefits, including healthcare and our 401(k) plan
- Coordinate human resources activities, including onboarding, personnel records, and employee documentation
- Maintain confidential employee and company information
- Order and manage office equipment, computers, and other business resources
- Coordinate company events
- Contribute to development of client cost proposals in key areas such as travel, administrative support functions, and other direct costs
- Manage printing and shipping of hard copy deliverables and proposals, including Interface with vendors
- Manage invoicing, to include developing productive working relationships with administrative/accounting representatives of client organizations and other firms (i.e., prime and subcontractors)
- Maintain office systems and administrative processes
- Support leadership with operational initiatives and special projects

Qualifications
Preferred qualifications include:
- 10 or more years of progressively responsible office management, business operations, or administrative leadership experience
- Experience processing payroll and managing bookkeeping functions
- Experience coordinating with an outside CPA
- Working knowledge of employee benefits and HR administration
- Experience using QuickBooks
- Strong proficiency with Microsoft Office, particularly Excel
- Experience supporting a small professional services business is highly desirable
