Position Overview
Kingshill Insurance Services, LLC is seeking a detail-oriented and dependable Policy Services Coordinator to support day-to-day policy administration and client service activities. This position serves as an important administrative link between clients, insurance carriers, producers, and internal team members.
The Policy Services Coordinator will assist with policy changes, documentation, renewals, billing inquiries, certificates, correspondence, and general policy servicing while ensuring information is accurate, organized, and handled promptly.
Key Responsibilities
- Process and coordinate routine policy service requests from clients and insurance producers.
- Assist with policy changes, endorsements, cancellations, reinstatements, renewals, and other servicing transactions.
- Prepare, review, and maintain policy documents, applications, forms, certificates, and correspondence.
- Communicate with insurance carriers regarding policy status, documentation, requests, and outstanding items.
- Respond to client questions regarding policy documentation, billing information, coverage changes, and administrative matters.
- Track pending policy transactions and follow up to ensure requests are completed within appropriate timeframes.
- Review policy information for accuracy and identify missing, inconsistent, or outdated information.
- Maintain organized electronic and paper policy records in accordance with company procedures.
- Assist with renewal preparation by gathering updated client information and required documentation.
- Coordinate requests for certificates of insurance and other client documentation as applicable.
- Route complex coverage or underwriting questions to the appropriate insurance professional.
- Monitor incoming emails, calls, and service requests and ensure timely follow-up.
- Update internal systems, customer records, and policy-management databases accurately.
- Assist with resolving routine discrepancies involving policy information or documentation.
- Support producers, account managers, and other team members with administrative policy-service tasks.
- Maintain confidentiality when handling client, policy, financial, and insurance-related information.
- Perform other administrative and policy-support duties as assigned.
Qualifications
- High school diploma or equivalent required.
- 1–3 years of experience in insurance, financial services, office administration, customer service, or a related field preferred.
- Insurance agency or carrier experience is a plus.
- Familiarity with insurance terminology, policy documents, renewals, endorsements, and certificates is helpful.
- Strong attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- Comfortable managing multiple requests, deadlines, and priorities.
- Proficiency with Microsoft Office, email, spreadsheets, and web-based systems.
- Ability to learn insurance agency management and policy-processing software.
- Ability to handle confidential information professionally.

Pay: $25.01 - $30.12 per hour
