We are seeking a friendly, professional, and highly organized Front Desk Receptionist / Client Services Coordinator to become an important part of our growing team.
This position is ideal for someone who enjoys working with people, providing exceptional customer service, staying organized, and supporting both advisors and clients throughout the planning process.
Responsibilities
- Greet and welcome clients for appointments
- Ensure clients feel comfortable and cared for during office visits
- Offer beverages and assist with office hospitality
- Maintain a professional and welcoming office environment
- Answer incoming phone calls and direct inquiries appropriately
Scheduling & Administrative Support
- Schedule and confirm client appointments
- Manage advisor calendars and coordinate meetings
- Send appointment reminders and follow-up communications
- Assist with client paperwork and document collection
- Maintain accurate client records and databases
- Support advisors with administrative tasks and special projects
Event Support
- Check in attendees and schedule client appointments at event
- Help manage event registrations and attendee confirmations
- Prepare materials for events and classes
- Attend select evening events as needed
Qualifications
- Excellent communication and customer service skills
- Strong organizational and multitasking abilities
- Professional appearance and demeanor
- Comfortable using Microsoft Office, Outlook, and scheduling software
- Ability to work independently and as part of a team
- Detail-oriented with strong follow-through
- Prior administrative, receptionist, hospitality, or customer service experience preferred
