Position Overview
This position begins as a part-time (xx hours expected weekly) , hourly opportunity, we view it as an investment in a long-term leader for Matchbox Creative. Thiis isn't a role for someone looking to simply manage tasks. It's for someone who wants a seat at the table.
Our intention is to grow this role into a full-time leadership position responsible for overseeing client onboarding, project delivery, and agency operations. As Matchbox continues to expand, this individual will become one of the most influential members of our team—helping shape how we serve clients, improve our operations, and scale the business.

What You'll Do
We're looking for someone who naturally takes ownership, anticipates challenges before they become problems, communicates confidently with clients, and keeps projects moving without constant direction.
You'll manage approximately xx active client relationships and xx-xx concurrent projects while serving as the operational hub between our clients, internal team, and contractor network.
Success in this role means our clients feel informed, projects stay on schedule, our team stays aligned, and agency leadership is able to focus on growth instead of day-to-day project management.
Project Management
- Create, organize, and manage projects within our project management platform (Moxie)
- Develop realistic project plans, timelines, milestones, and dependencies
- Monitor project progress and proactively adjust schedules when priorities shift
- Ensure projects remain on time, on budget, and moving toward successful completion
- Identify risks early and develop solutions before they impact delivery
Client Management
- Serve as the primary day-to-day contact for assigned clients
- Build trusted relationships through clear, professional communication
- Lead project meetings with confidence
- Document decisions, action items, and next steps
- Send timely meeting recaps and follow-up communications
- Hold both internal teams and clients accountable for deadlines and deliverables
Team Coordination
- Coordinate work across designers, developers, marketers, copywriters, and contractors
- Ensure every team member understands priorities and upcoming deadlines
- Track outstanding tasks and remove blockers before they slow projects down
- Escalate issues appropriately while maintaining momentum, on time delivery is a key metric our clients can depend on
Operations & Process Improvement
- Continuously look for opportunities to improve agency workflows and client experience
- Help standardize project management processes and documentation
- Recommend operational improvements that increase efficiency and scalability
- Embrace AI and modern technology to automate repetitive work and improve productivity
- Contribute ideas that help Matchbox Creative grow into a stronger, more efficient agency
What Success Looks Like
Within your first several months, you will:
- Confidently manage a portfolio of active client projects
- Become the trusted day-to-day contact for our clients
- Keep projects moving with minimal oversight
- Improve communication between clients and internal teams
- Introduce operational improvements that save time and reduce friction
- Allow agency leadership to step away from daily project management and focus on business growth
QualificationsRequired
- 2+ years of experience working within a marketing agency, creative agency, branding agency, or digital agency
- Strong understanding of key milestones and deliverables inside of marketing projects to inform project management. This includes:
- Branding
- Website development
- SEO
- Paid advertising
- Marketing campaigns
- Creative production
- 2 years of experience inside of project management as a Project Coordinator or Junior Project Management. Even better, you’ve been a project manager at a small to mid size agency.
- Excellent organizational and time management skills
- Outstanding written and verbal communication skills
- Comfortable leading client meetings and presenting project updates
- Ability to manage multiple priorities simultaneously
- Comfortable making decisions and working independently
- Strong attention to detail without losing sight of the bigger picture
Preferred
- Familiarity with project management frameworks such as Agile, Scrum, Kanban, or Waterfall
- Experience using project management software such as Moxie, Asana, ClickUp, Monday.com, Jira, Trello, or similar platforms
- Experience documenting and improving operational processes
- Comfortable using AI tools to improve productivity and introduce automation in stagnant workflows

Pay: $30.00 - $35.00 per hour
