We are a high-volume estate planning and elder care law firm seeking a meticulous Paralegal for our Estate Planning Department. This is a fast-paced position where you will assist clients with estate planning document preparation, comprehensive asset protection, complex trust funding, and the coordination of formal signings. The ideal candidate possesses excellent client-facing communication skills and exceptional attention to detail.
Key Responsibilities
- Case Management: Own and manage a high-volume caseload, prioritize tasks independently, and meet monthly deadlines.
- Client Liaison: Serve as the primary point of contact for client data collection and updates. Explain the mechanics of estate, incapacity, and special needs planning, trust funding requirements, and fiduciary roles to families with empathy and clarity. Proactively follow up via phone, mail, and email with clients and financial institutions.
- Drafting: Prepare wills, living wills, powers of attorney, healthcare proxies, revocable, irrevocable, and specialized trusts.
- Trust Funding: Prefill out forms and assist clients with transferring assets, retitling accounts, and updating beneficiary designations.
- Signings: Coordinate and witness formal signing ceremonies in person and virtually. Act as a notary public if applicable.
- Data Integrity: Verify all documentation for accuracy, track information, and input all case updates and communications into an internal system.
Required Qualifications & Traits
- Initiative & Self-Agency: Intrinsic motivation to chase down missing documents without being micromanaged. Have a strong commitment to task completion and a proactive approach to continuous skill development.
- Analytical & Technical: Ability to spot a missing signature, required document, or conflicting information instantly. Have strong organizational and time management skills. Proficient with Microsoft programs and estate planning software such as Wealth Counsel.
- Clear Communication: High emotional intelligence for handling sensitive client family dynamics with exceptional written and verbal skills.
Preferred Experience
- 1 year of estate planning paralegal experience.
- Prior paralegal or legal secretary experience.
Position Details
Full-time, in person at our Cherry Hill office. Monday through Friday, 8:30 am to 5:00 pm with a 1-hour lunch break.
Pay: $58,000.00 - $60,000.00 per year
