RESPONSIBILITIES
Assistant Community Managers are responsible for supporting the Community Managers with the day to day operations of their community. Their primary objective is to help increase the net operating income of the property. Some of the duties of an Assistant Community Manager include handling lease negotiations and renewals, and supervising the maintenance crew, leasing team and other on-site team members. Assistant Community Managers must possess strong managerial, interpersonal and computer skills, and have some knowledge of building maintenance. These Assistant Community Managers should establish a positive and productive working relationship with the community staff, and possess the ability to work independently.
ESSENTIAL JOB FUNCTIONS
· Assist with managing the day to day operations of the community.
· Maintain and supervise monthly rent collection, tenant eviction, and all other transaction records.
· Qualify each applicant’s eligibility according to company and government standards.
· Enforce building rules and regulations and investigate resident complaints.
· Assist in resolution of tenant-employee issues.
· Assist with all lease negotiations and renewals.
· Provide administrative support to the Community Manager and Leasing Team.
· Perform all secretarial and clerical duties such as typing, answering calls, making copies, sending and receiving emails, etc.
· Negotiate upcoming renewals with residents.
· Assist with resident requests/complaints.
· Prepare and compose letters, contracts, emails, memos, invoices, and spreadsheets.
· Open and distribute mail, as appropriate, and help prepare tenant communications (memos, building signage, etc.). and other office letters and documents. Send, receive, and distribute mail and deliveries.
· Assist with compilation and maintenance of organizational tools for office use.
· Help follow up with tenants on inquiries, complaints and/or work orders to ensure things have been completed to their satisfaction.
· Assist with tenant move-in/move outs and annual re-certifications, as required.
· Help prepare vacant spaces to ensure they are always tour-ready.
· Manage and maintain general office equipment. Retain files for all equipment contracts. Conduct inventory, place orders and stock general office supplies.
Attend to other property management administrative tasks and duties, as assigned, or directed by Management, and be able to manage multiple assigned projects consistently and simultaneously within normal business and working hours.
QUALIFICATIONS
· Bachelor’s degree or equivalent experience.
· Bilingual in English and Spanish.
· 2 to 4 years of experience in leasing/multifamily industry.
· Must be proficient in Microsoft Office Suite (Word, Excel, Outlook).
