The role of the building secretary is to be front-facing in the main office as the first point of contact for scholars, parents, and guests entering the building. This role works closely with the Building Administrative team to communicate school policies and procedures to staff, students, and families. Ensures the smooth operation of the main office, including phone operations, mailings, attendance reporting, office machine maintenance, etc.
School Operations and Office Management

Works with regional operations and school teams to construct class rosters as needed

Works with the Building Administrative team to develop, refine, and/or communicate school policies and procedures to staff, students, and families.

Serves as the school record keeper and ensures maintenance of appropriate documentation

Provide general assistance to the Principal and other administrators with any projects.
Student Records
-
Oversee student files to ensure all proper documentation is collected, tracked in appropriate systems, organized, and filed. Ensures that all student records are complete including transcripts and health forms (general and athletic), etc.

Supports School Admissions with the student admissions process including the collection, reviewing, and filing of all enrollment paperwork

Manage Student Information System (Infinite Campus) for the school and ensures accurate input and maintenance of student data, waivers and permissions, family and household contact information, attendance record coding, and daily attendance

Assist with Human Resources issues including processing I-9 forms for new employees.

Fulfill student records requests

Ensures scholars with special needs are referred to the appropriate service manager and school team (i.e. ELL/ SPED)

Regularly audit and correct student data, and communicate documentation requirements to parents
Family and Community Relations

Assist with family engagement activities and initiatives, information sessions and school open houses
-
Oversees creation and distribution all reports, progress reports, report cards, attendance, transcripts and any other records requests

Corresponds regularly with families regarding school policies, trips, events, and milestones

Assists in scheduling family-teacher conferences, family events, standardized testing, use of technology

Support with the scheduling and coordination of field trips and other student activities
-
Manages dissemination of school information for families, administers school-based surveys, collects data
-
Organizes messages to families, and ensures timely communication for families

Manage phones (redirect/transfer calls, field questions from families, take messages, etc)

Under direction of the regional team, assures timely communication of board meeting postings

Supports with Arrival and Dismissal of scholars

Supports with vendor communication and document retention as needed
Facilities
-
Serves as the gatekeeper for the school building, maintain key control and tracking

Ensures that the office environment reinforces school culture and facilitates student achievement
Purchasing/Inventory

Ensures school supplies, resources, materials, and equipment are properly inventoried, stored and accessible when needed.

Oversees school-based purchasing in accordance with the purchasing procedures

Maintain and manage inventory and sales of school uniforms
Security and Emergency Operations

School point person for office security system, key access to building

Supports with and documents all fire, evacuation, and crisis drills
-
Greet families and document all visitors (signing in visitors, ensuring that students only leave with authorized parents/guardians, monitoring and controlling access to the school, etc.)

Use the school’s visitor management system to ensure safety of scholars
Finance
-
Monitor, submit, and organize all invoices and packing slips
-
Manages cash box, collects all on-site revenue for the school, and secures cash and checks
-
Tracks fees from families (i.e. athletics and field trips)
-
Completes regular deposit reports to ensure timely and appropriate bank deposits, and accurate deposit records and receipts
Medical
-
Maintains and tracks all student medical records and compliance with state requirements (i.e. condition documentation, physician permissions, immunization records)
-
Administer physician approved medication and document all office visits for medical concerns
-
Tracks medication dispensations in SIS and notify parents/ guardians of refill needs
-
Administer basic first aid to scholars and serve as medical point of contact

Document and maintain injury and incident reports
-
High school diploma or equivalent required
-
Proficient understanding of how to use technology such as phones, copiers, computers, and more.

1-3 years of prior experience as a secretary, administrative assistant, or in a front facing role as a first point of contact for an organization. Preferably in a school based environment.

Compensation begins at $38,335 and increases based on years of experience and education.
This role will be effective immediately. This role is a full time, 12 month non exempt position. Staff are expected to be available for core hours of 7:30AM to 4:00PM during the school year from August to May.
