Candidates with eClinicalWorks experience, referral coordination, prior authorization, or specialty scheduling experience will receive priority consideration. Blue Ridge Vascular & Endovascular Institute is a newly established, physician-led vascular and endovascular practice integrating an outpatient clinic, non-invasive vascular laboratory, and office-based angiographic lab. We are seeking a highly organized, patient-focused Patient Access & Administrative Coordinator to serve as a central member of our front-office and administrative team, supporting patient access, scheduling, insurance coordination, and daily clinic operations.
This role combines front-desk, medical secretary, and authorization responsibilities and is ideal for someone who thrives in a fast-paced specialty practice, enjoys coordinating complex care, and takes pride in delivering a seamless, professional patient experience.
Key Responsibilities
Patient Access & Front Office Operations
- Greet patients and visitors in a courteous, professional, and welcoming manner
- Serve as the first point of contact for patients in person and by phone
- Schedule, confirm, and manage clinic visits, diagnostic studies, and procedures
- Check patients in and out efficiently while maintaining smooth clinic flow
Insurance Verification & Prior Authorization
- Verify patient demographics and insurance coverage
- Obtain and track prior authorizations and referrals for diagnostic studies and vascular procedures
- Communicate with insurance companies regarding coverage, authorizations, and peer-to-peer coordination as needed
- Collaborate with clinical staff and billing partners to ensure authorization accuracy and timeliness
Administrative & Medical Records Support
- Maintain accurate, organized medical records including scanning, indexing, and data entry
- Handle inbound and outbound communications with patients, providers, and external facilities
- Assist with referrals, transfer of records, and coordination of care
- Provide general administrative support including transcription, correspondence, filing, and report generation
Quality, Compliance & Team Collaboration
- Ensure HIPAA compliance and protection of patient confidentiality
- Support quality assurance initiatives and workflow improvements
- Coordinate closely with physicians, clinical staff, and administrative leadership to support daily operations
Qualifications
- Prior experience in a medical office, specialty clinic, or healthcare setting required
- Strong working knowledge of scheduling, insurance verification, and prior authorization processes
- Excellent communication, organization, and multitasking skills
- Attention to detail with the ability to manage competing priorities
- Familiarity with EMR systems and medical office workflows, eClinical Works experience preferred
