Assistant Service Writer / Parts Coordinator

About the Position
Air Park Auto Service is looking for a friendly, outgoing, dependable, and organized person to join our team as an Assistant Service Writer / Parts Coordinator.
This is not just a parts or administrative position. You will interact with customers, technicians, Service Writers, and parts vendors throughout the day. A friendly, outgoing personality and excellent communication skills are extremely important to us.
We are looking for someone who genuinely enjoys talking with people, makes customers feel welcome, communicates professionally, and works well as part of a team.
This position combines customer service, service writing, parts ordering, and inventory responsibilities. You will work closely with our Service Manager and technicians to help keep vehicles and repair jobs moving efficiently through the shop.
Automotive experience is preferred, but personality, communication skills, dependability, organization, and a willingness to learn are equally important to us.
What You'll Do
Customer Service & Service Writing
- Greet customers with a friendly, positive, and professional attitude.
- Build rapport with customers and help make their experience with our shop a positive one.
- Answer incoming phone calls and communicate professionally with customers.
- Assist with scheduling appointments and checking customers and vehicles in and out.
- Listen carefully to customer concerns and accurately document them on repair orders.
- Create and update repair orders and work tickets.
- Prepare repair estimates based on technician findings and recommendations.
- Communicate repair recommendations, pricing, and vehicle status to customers.
- Obtain customer authorization for repairs.
- Keep customers informed throughout the repair process.
- Assist customers during vehicle pickup and completion of repair orders.
Technician & Shop Communication
- Communicate clearly and professionally with technicians regarding customer concerns and repair needs.
- Review technician recommendations and inspection results.
- Help explain technician findings to customers in a clear, easy-to-understand way.
- Make sure technicians have the information and parts they need to complete repairs efficiently.
- Help coordinate communication between the front office, technicians, customers, and parts vendors.
- Follow up on repair status and help keep jobs moving through the shop.
Parts Ordering & Inventory
- Source and order automotive parts from multiple vendors.
- Compare parts pricing, quality, availability, and delivery times.
- Order the correct parts for each repair order.
- Track outstanding parts orders and expected delivery times.
- Receive parts deliveries and verify that the correct parts were received.
- Make sure parts are assigned and billed to the correct repair order.
- Handle incorrect, damaged, or unused parts.
- Process parts returns and credits with vendors.
- Maintain inventory of commonly used parts and shop supplies.
- Monitor inventory levels and reorder supplies when needed.
- Maintain accurate parts and inventory records.

Qualifications
- Automotive repair, automotive parts, or service department experience preferred.
- Service Advisor/Service Writer experience is a plus.
- General understanding of automotive parts and repair terminology preferred.
- Strong customer-service and communication skills.
- Strong computer skills and ability to learn automotive shop-management software.
- Ability to prepare accurate estimates, repair orders, and customer documentation.
- Strong organizational and time-management skills.
- Valid driver's license and clean driving record required.
- Must be comfortable safely moving and/or driving customer vehicles when necessary.
Schedule
- Full-time
- Monday through Friday
- Day shift
- No weekends
Pay
$20.00–$25.00 per hour
Sales incentives and bonuses may be offered in addition to hourly pay.
Starting pay will depend on automotive experience, service-writing experience, parts knowledge, and overall qualifications.
