Assistant Office Coordinator
Our firm is rapidly growing and we are seeking a self-motivated person who wants to join a dynamic, growing company. We are currently seeking to fulfill a full-time, in-office position. Our Assistant Office Coordinator will be responsible for providing administrative assistance in diverse functions across all departments and exceptional customer service to both colleagues and clients. Insurance industry or agency experience and knowledge is not required, but would be a great benefit this position.
Principal Accountabilities:
- Coordinating the flow of day-to-day activities in the main office or in specific departments
- Operating telephone switchboard to answer, screen, or forward calls, provide information, or take messages
- Greeting guests entering office, determining nature and purpose of visit in order to direct or escort them to specific destinations
- Maintaining accurate and updated conference room calendars
- Performing administrative support tasks, such as proofreading, transcribing handwritten information, processing bulk mailings, coordinating agency licensing, etc.
- Transmitting information or documents to clients using email, mail, or fax machine
- Managing mail, messages, and deliveries by sorting or distributing to the appropriate individual or department
- Maintain awareness of colleague schedules and availability to assist visitors and coordinate communications
- Overseeing the organization and ordering of office supplies, materials, and stationery
- Maintaining the general upkeep and cleanliness of the office
- Assist Human Resources, Best Places to Work Committee and Wellness Program as needed
Desired Qualifications:
- College education or equivalent experience
- Ability to multi‐task and handle workload with minimal supervision
- Knowledge of administrative and clerical procedures and systems such as Excel, Word, PowerPoint and Outlook, managing files and records, designing forms, and other office procedures and terminology
- Excellent principles and processes for providing satisfactory client services
- Exceptional understanding of the English language and grammar
- Strong active listening and interpersonal communication skills
- Ability to effectively convey information to both colleagues and clients
- Demonstrates a customer service mindset and commitment to supporting colleagues and clients
- Effectively uses logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems
