Bilingual Onboarding Specialist
Job Summary:
The Onboarding Specialist works closely with Recruiting, hiring managers, and the Human Resources team to ensure a seamless onboarding experience and compliance with all pre-employment and new hire processes. This position reports directly to the Recruitment Manager.
Duties/Responsibilities:
❑ Follows Mission, Vision, Values
❑ Coordinates onboarding for all newly hired employees from offer acceptance through their first day.
❑ Guides new hires through the onboarding process and ensures all required employment documentation is completed accurately and on time.
❑ Serves as the primary point of contact for new hires, answering questions and providing support throughout the onboarding process.
❑ Schedules and monitors all pre-employment requirements, including drug screenings, background checks, and Motor Vehicle Record (MVR) requests.
❑ Verifies all required employment eligibility documentation is received and accurately completed to process new hires through E-Verify.
❑ Assists new hires in completing and understanding all onboarding paperwork, including Form I-9, Form W-4, Direct Deposit Authorization, benefits enrollment, and other required onboarding documents.
❑ Conducts weekly new hire orientations in Spanish as needed to ensure Spanish-speaking employees fully understand company policies, procedures, safety requirements, and available benefits.
❑ Maintains employee information within the HRIS and onboarding systems, ensuring data accuracy and confidentiality.
❑ Coordinates onboarding schedules with hiring managers and department leaders.
❑ Performs general administrative duties to support Human Resources operations, including maintaining records, preparing documents, and scheduling meetings.
❑ Assists with HR projects and process improvements related to onboarding and employee experience.
❑ Provides verbal and written translation between English and Spanish as needed.
❑ Performs other duties as assigned.
Required Skills/Abilities:

❑ Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

❑ Must be bilingual in English and Spanish (written and verbal).
❑ Strong attention to detail.
Education and Experience:
❑ Associate's degree in Human Resources, Business Administration, or related field preferred.
❑ (OR) 2+ years of Human Resources, recruiting, or administrative experience preferred.
Physical Requirements:
❑ Prolonged periods of sitting.
❑ Ability to reach, bend, or stoop.
❑ Occasional standing and walking within the office environment.
❑ Ability to lift and carry up to 15 pounds.
