The Kansas City Center for Anxiety Treatment, P.A. (KCCAT) opened in 2005 as the region’s first center dedicated solely to expert, team-based treatment, research, and training for OCD, anxiety, and related disorders.
We specialize in OCD, anxiety, mood, and stress-related challenges for all ages using evidence-based treatments. Our team structure offers a wide range of service levels, including traditional outpatient therapy, individualized intensive outpatient treatment, and a growing repertoire of professional training and outreach activities.

Core Responsibilities & Values
The Clinic Operations Assistant is a key member of KCCAT’s customer-service, outreach, and operations team. The ideal candidate is a highly organized self-starter who takes initiative and carries out tasks efficiently, professionally, and consistently.
Primary Responsibilities
New-Patient Intake & Follow-up
- Review all incoming patient screening forms daily; enter data into the EHR and flag urgent items (e.g., suicidality, recent hospitalization) for clinical review
- Follow up with prospective patients by phone/email to clarify screening responses, provide resources from KCCAT’s curated resource list, and request releases to coordinate with referring providers
- Serve as a welcoming first contact for prospective patients and referring providers, explaining KCCAT’s services
- Schedule all new-patient appointments; orient patients to the patient portal and paperwork requirements
Daily Remote Workflow
- At least 1–2 hours of remote work each weekday (M-F) is required to ensure same-day entry of new patient inquiries and timely return of calls/emails. Individuals are also able to break up remote work into several 1-2 hour blocks if it suits their schedule
Billing & Office Support
- Place follow-up calls for outstanding patient balances and relay billing questions to the Director
- Send and receive faxes or electronically shared documents (e.g., records to/from outside providers)
- Stock waiting-room and office supplies and sort/mail physical correspondence during in-office visits
- Assist with scanning archived paper charts, building our referral database, and other special projects
Project-Based Work
- Larger projects (chart scanning, outreach mailings, policy roll-outs, etc.) may be batched into longer work blocks on in-office days
Collaboration
- Coordinate communication between KCCAT’s clinicians and outside providers
- Support the Director with ongoing business-operations needs, including record-keeping and office organization
Required Qualifications & Competencies
- Competence with modern tech: email, web-based apps, mobile devices, and team chat.
- Competence using spreadsheets (e.g., Google Sheets / Excel) for tracking and organizing data
- Comfortable handling sensitive/confidential information (PHI, billing, business operations)
- Strong customer-service and communication skills; able to interact with patients in a composed, professional, and empathetic manner
- Organized, able to manage multiple tasks and meet deadlines with minimal supervision
- Associate’s degree OR substantial relevant work experience
- Minimum one year experience in a healthcare setting (preferably mental health) or in an executive-assistant / front-office role; training in our procedures will be provided
Desired Qualifications
- Interest in learning about small-business operations and/or behavioral-healthcare settings
- Prior experience with EHR systems (Sessions Health or similar) is a plus
- Prior experiences with Google Workspace (Gmail, Calendar, Drive, Docs, Sheets, etc.)
Hours & Work Location
- 15–20 hours/week
- Hybrid to Fully In Person: majority of work may be done remotely; 1 short on-site visit each week (Typically 30 minutes or less; longer if there are in-office projects such as scanning/shredding of old patient records) is required for mail sorting, stocking supplies, and other in-office duties. If engaging in remote work, must have a private workspace to ensure HIPAA compliance given sensitive nature of data you will be interacting with.
- Required availability: Minimum 1–2 hours of remote work every weekday (M-F) during business hours to keep up with daily patient screens and calls.
- All patient-facing contacts (scheduling, billing calls) must be completed during regular business hours; project-based duties may be completed anytime
- Occasional extra hours may be available for special projects with advance coordination
Job Type: Part-time
Base Pay: $18.00 - $20.00 per hour
