Bayview Research Group, an established clinical research site in Valley Village, is seeking an energetic, phone-savvy team member to join us in early August 2026. This role is ideal for someone with medical office or clinical research experience who enjoys talking with people and takes pride in careful, thorough work. Experience with social media ad creation and posting is a plus.
About the Role
The majority of your day will be spent on the phone with warm leads — interested individuals who have already responded to our advertisements and social media campaigns. Careful and complete phone screening is at the heart of this role: you will screen each caller thoroughly against study questionnaires and study entry criteria so that appropriate, prequalified participants are identified and scheduled for a screening appointment. Callers who do not meet entry criteria must be accurately documented as prescreen failures. Strong soft-sales and customer service instincts are essential.
The remainder of your time will support our study pharmacist in an administrative capacity, including quality assurance review of study records. Specific duties will be trained and reviewed with the new hire. Depending on experience, you may also work with the team on developing study advertisement materials such as posters and social media ads.
Responsibilities
- Participant Recruitment & Phone Screening: Conduct telephone interviews and carefully and completely screen potential study participants by phone using study questionnaires; identify appropriate, prequalified participants in accordance with each study protocol entry criteria, and document prescreen failures for callers who do not qualify
- Screening Appointments: Arrange and document screening appointments per the site’s office availability, and follow up on screening appointments with confirmation and reminder calls
- Appointment Coordination: Confirm and follow up on study patient appointments
- Pharmacy Support & QA: Support the Study Pharmacist administratively and provide quality assurance work, reviewing vaccine/drug accountability records for accuracy and completeness
- Study Advertising (depending on experience): Work with the team on developing study advertisement materials such as posters and social media ads
Qualifications
- Prior experience in a medical setting or the clinical research industry highly desirable
- Minimum 1 year in a medical office, pharmacy, or similar role
- Excellent written and verbal communication skills, with strong customer service and telemarketing/sales ability
- Strong experience using MS Office tools, especially Word, Excel, and Outlook
- Highly organized, detail-oriented, and able to multi-task in an orderly fashion
- Strong problem-solving skills; professional appearance and demeanor
- Reliable transportation and punctuality required; background check and work references are required
- Flexibility to occasionally work evenings, weekends, and holidays as needed
Schedule
- Tuesday through Saturday, 9:30 AM – 5:30 PM (5 days/week), with some flexibility to stay later when required
- Office is closed on Sundays, Mondays, and observed holidays
Education & Experience (Preferred)
- Associate degree or higher
- Customer service: 1 year
- Medical office: 1 year
- Microsoft Office: 1 year
