Administrative Assistant

This role is responsible for helping maintain an efficient office environment while providing administrative support to onsite staff, residents, vendors, and management. Greet and welcome residents, vendors, applicants, and guests in a professional and friendly manner

Answer incoming phone calls, emails, and office inquiries promptly and professionally

Maintain office organization, cleanliness, and supply inventory

Ensure office supplies and materials are fully stocked and ordered as needed

Assist with resident move-ins by preparing paperwork, coordinating schedules, and ensuring a smooth onboarding process

Print, organize, and distribute checks securely and accurately

Support billing and accounting processes including invoice tracking, data entry, and communication with vendors or accounting staff

Maintain accurate filing systems and resident records

Assist property management staff with administrative projects and daily operational tasks

Help coordinate internal office communication and scheduling

Support leasing and resident services teams as needed

Maintain confidentiality of resident and company information

Ensure compliance with company policies and professional office standards

High school diploma or equivalent required

Previous administrative, office support, or property management experience preferred

Experience in property management or real estate administration

Familiarity with property management software such as Entrata or similar property management software

Basic accounting or billing experience

Strong problem-solving and time management abilities

Bilingual is a plus
