As a Client Service Coordinator, you will play a vital role in supporting our commitment to exceptional client experiences. You’ll help ensure that each client interaction reflects the firm’s values, support smooth operations behind the scenes, and help build trust by delivering responsive, accurate, and welcoming service.
Key Responsibilities
Operational & Administrative Support
- Answer phones, manage client and vendor inquiries, and route calls or requests appropriately and efficiently.
- Perform daily operational tasks: document filing, scanning, and accurate data entry to maintain compliance and data integrity.
- Assist clients with setup and use of the firm’s technology tools, ensuring a smooth, user-friendly onboarding experience.
- Monitor and complete assigned tasks in internal workflow systems.
- Maintain secure, organized client records and correspondence, upholding confidentiality and compliance standards.
- Ensure meetings are prepped and virtual folder is ready 2 weeks in advance of meeting date.
- Assist with event planning and marketing gifts.
Scheduling & Calendar Assistance
- Assist in scheduling appointments and meetings for advisors and team members.
- Manage calendars for multiple advisors, including complex scheduling, meetings, and client appointments.
- Coordinate cross-departmental and inter-team scheduling to optimize advisor time and client service.
CRM Data Entry
- Enter and update CRM data points.
Client Experience & Reception Support
- Serve as a backup receptionist during breaks, lunches, or absences.
- Greet clients and visitors with a warm, professional, client-first demeanor reflecting our commitment to respect and service.
- Handle incoming/outgoing mail and packages; scan checks for deposit, maintain mail and funds log.
Communication & Team Support
- Respond to general inquiries from clients, vendors, and team members professionally and in a timely manner.
- Relay messages and information clearly and accurately.
- Participate in team meetings and assist with administrative tasks or process improvements as needed.
Qualifications
- Bachelor’s degree in finance, business, or related field strongly preferred.
- 1–2 years of experience in administrative support, client service, or office operations (financial-services industry experience is a plus).
- Strong communication skills, written and verbal, with a client-service orientation.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and comfortable learning new systems.
- Detail-oriented, organized, able to manage multiple tasks efficiently and maintain confidentiality.
- Professional, friendly demeanor; comfortable handling multi-line phone systems and interacting with clients/vendors.
- Proven time-management skills with the ability to prioritize tasks, meet deadlines, and manage multiple responsibilities efficiently.

Pay: $31,500.00 - $45,000.00 per year
