We are seeking an organized, detail-oriented, and compassionate Scheduling Coordinator to join our long-term care team. The Scheduling Coordinator plays a vital role in ensuring appropriate staffing coverage to provide exceptional care for our residents. This position works closely with nursing leadership, department managers, and employees to maintain staffing schedules, fill open shifts, and support daily staffing operations.
Position Summary
The Scheduling Coordinator is responsible for creating, maintaining, and managing employee schedules for nursing and ancillary departments. This individual will proactively address staffing needs, communicate schedule changes, coordinate shift coverage, and help ensure compliance with staffing requirements and facility policies.
Essential Responsibilities
- Create and maintain employee schedules for nursing and designated departments.
- Fill open shifts through employee call-outs, shift trades, and staffing adjustments.
- Communicate schedule updates and staffing needs promptly to employees and leadership.
- Monitor staffing levels to ensure adequate coverage and compliance with state and facility requirements.
- Track attendance, call-ins, PTO requests, and approved leaves of absence.
- Coordinate staffing agency requests when approved by leadership.
- Maintain accurate scheduling records and staffing reports.
- Assist with onboarding new employees by adding them to schedules and coordinating orientation dates.
- Work collaboratively with department managers regarding staffing needs and schedule concerns.
- Support payroll preparation by ensuring schedule accuracy and reporting discrepancies.
- Maintain confidentiality of employee information and staffing records.
- Participate in weekend and holiday scheduling rotations as assigned.
Qualifications
- High school diploma or equivalent required.
- Previous scheduling experience in healthcare, long-term care, assisted living, or related field preferred.
- Strong organizational and time management skills.
- Ability to work independently and prioritize multiple tasks.
- Excellent communication and customer service skills.
- Proficiency with scheduling software, Microsoft Office, and electronic staffing systems.
- Knowledge of long-term care staffing requirements preferred.
- Ability to maintain confidentiality and professionalism in all interactions.
Pay: $20.00 - $24.00 per hour
