Job Description
As a Production Coordinator you will support the planning, preparation, and distribution of employee communications. This role combines project coordination, administrative support, and production oversight, requiring someone who can effectively manage multiple assignments while collaborating with internal teams, outside vendors, and temporary staff. Candidates who enjoy balancing office coordination with hands-on production work will thrive in this opportunity.
Key Responsibilities
- Coordinate the production and delivery of both printed and electronic communications from project kickoff through final distribution.
- Partner with internal departments to collect project materials, verify content, and keep deliverables on schedule.
- Prepare printed communications by organizing, assembling, and packaging materials for mailing.
- Utilize Microsoft Word Mail Merge and Excel data to generate personalized correspondence for large distribution projects.
- Oversee temporary production staff during high-volume mailing initiatives, providing guidance and assigning daily tasks.
- Work closely with external vendors, staffing agencies, and shipping providers to ensure projects are completed accurately and delivered on time.
- Perform quality assurance reviews to verify mailing accuracy before materials are distributed.
- Track project timelines and proactively communicate updates, priorities, and potential issues to stakeholders.
- Support multiple projects simultaneously while maintaining strong attention to detail and meeting established deadlines.
- Assist with special projects and other production-related responsibilities as assigned.
Qualifications
- Minimum of 1 year of experience in production coordination, mail operations, print services, administrative support, or a related field.
- Strong working knowledge of Microsoft Word, including hands-on experience with Mail Merge.
- Intermediate Microsoft Excel skills, including VLOOKUP and general spreadsheet management.
- Experience with Adobe Acrobat and PDF management is a plus.
- Previous experience supporting print production, mailing operations, or fulfillment projects is preferred.
- Excellent organizational, communication, and time management skills.
- Ability to multitask in a deadline-driven environment while maintaining a high level of accuracy.
- Comfortable working collaboratively across multiple departments and providing direction to temporary staff.
