POSITION SUMMARY:
The Director of Business and Administration is responsible for managing budgeting, auditing and other financial or related functions to ensure the financial integrity of the Enrollment Management Group (EMG), including Undergraduate Admissions, Graduate Enrollment Services, Financial Aid, Enrollment Marketing and Communications, Enrollment Operations and Student Services, Military and Veterans, and Campus Visit Experience and Enrollment Event Management. Incumbent assists with personnel and operational matters, communicates relevant University procedure and policy updates to EMG staff as appropriate and, in conjunction with other key EMG members, evaluate and/or negotiate all contracts and vendor relationships. The director must coordinate and interface with all EMG leadership to integrate, align and approve all operational activities with budget allocations.
DUTIES AND RESPONSIBILITIES:
Develops and manages operating, endowed and resource budgets for all departments under EMG including undergraduate and graduate admissions, financial aid, college fairs, enrollment systems and military and veteran affairs. Provides fiscal direction in matters concerning payroll, technology, travel, purchasing, accounts payable and accounts receivable.
Approves all financial transactions ($24,999 and under) for EMG departments; including invoices, purchase orders, EMG media buys, mailing requisitions, business expense reports, procurement card transactions and any other departmental charges. Approves Kronos payroll entries for EMG departments.
Supports decisions and advises management regarding financial decisions by providing accurate information regarding the financial status of individual accounts and interpreting University financial reports. Prepares detailed budget reports on a monthly, quarterly and yearly basis; audits current procedures to monitor and improve efficiency of operations. Interfaces and coordinates with AVP(s) of EMG to review budget and efficiencies. Reviews enrollment partnerships for Return-on-Investment to evaluate effectiveness of expenditures of EMG.
Assists the Assistant Vice President of Enrollment Operations and Student Services and Senior Vice President of Enrollment Management with staff hiring and reclassification processes. Advises on financial and human resource matters as needed. Oversees staff employment documents and provides information on administrative procedures and requirements to staff.
Coordinates with all EMG leadership all compliance details to include audits and any necessary responses to findings; including Enrollment Management, undergraduate and graduate admissions, financial aid and military and veteran students as well as assist with Federal and State Student Aid, Grant Thornton, LLP and the VA Compliance Survey audits.
In conjunction with other key EMG colleagues, evaluates and/or negotiates all contracts for the purchase of third-party services such as CRM, texting, tuition discounts and enterprise predictive analytics & data blending software in accordance with the university policies and procedures (I.e. Capture, EAB, TriviumBI, Banner, Technolutions Slate, etc. etc.).
Assists in the management of the daily operations of the EMG. Oversees additional ad-hoc projects, such as the Kuali Business Continuity documents as assigned by the Assistant Vice President of Enrollment Operations and Student Services and the Senior Vice President for Enrollment Management.
Participates in/assists in the management of large admissions recruitment events (i.e. DuquesneFest, Fall Open House, etc.). Represents the EMG by participating on committees, attending meetings and outside functions. Performs related duties and responsibilities as assigned.
REQUIREMENTS:
Minimum qualifications:
Bachelor’s degree in business, accounting, finance, or a related field from an accredited educational institution.
5-8 years of relevant work experience
Preferred qualifications:
MBA, or advanced degree in business systems, computer science, technology, or a related field from an accredited educational institution.
Alternately, the successful candidate may possess any equivalent combination of experience and training, which provides the knowledge, skills and abilities required to perform the essential job functions. This includes, but is not limited to, the following:
Knowledge of management and supervision practices and techniques.
Knowledge of accounting and budgetary theory, principles and practices.
Knowledge of state and federal laws and regulations pertaining to financial aid audits, departmental budgets and accounting practices.
Skill in applying accounting and financial management principles.
Ability to work independently on complex and confidential issues related to the day-to-day operations of a department.
Knowledge of Human Resources, Purchasing and Payroll systems.
Strong leadership, supervisory and communication skills.
Ability to establish and maintain effective working relationships with the University Community.
