About the Role
As an HVAC/BAS Controls Inside Sales Coordinator, you will support our sales, estimating, and operations teams with project setup, proposal coordination, customer communication, and administrative project management. You'll be a central point of connection between our customers, vendors, and internal teams—helping everyone stay aligned and moving forward.
Your responsibilities will include:
Sales & Customer Support
- Assisting outside sales personnel with project setup, proposal preparation, and customer documentation
- Coordinating communication between customers, vendors, subcontractors, and internal staff
- Supporting sales activities by gathering project information, specifications, and pricing documentation
- Maintaining customer records, bid tracking, and sales activity information
- Assisting in preparing submittals, quotations, and project correspondence
Project Setup & Administrative Coordination
- Setting up awarded projects within company project management and office administration software
- Creating and maintaining project files, job folders, and documentation
- Entering and tracking project information including budgets, schedules, purchase orders, and subcontract data
- Assisting with project closeout documentation and administrative support functions
Estimating & Preconstruction Support
- Assisting estimators with bid preparation, document organization, and scope coordination
- Reviewing project plans, specifications, and bid documents for administrative support purposes
- Coordinating vendor and subcontractor pricing requests
- Helping organize bid submissions and proposal packages
Contract & Subcontract Administration
- Reviewing subcontract documents and assisting with scope verification
- Coordinating collection and organization of contracts, insurance certificates, and compliance documents
- Supporting internal teams with project-related administrative requirements
General Office & Team Support
- Maintaining organized records and electronic filing systems
- Assisting management and operations personnel with special projects and reporting
- Supporting efficient communication and coordination between departments
What We're Looking For
Preferred Qualifications:
- Experience in HVAC, mechanical contracting, controls, construction administration, or a related industry
- Strong organizational and multitasking abilities
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
- Experience with project management, CRM, or office administration software
- Excellent communication and customer service skills
- Strong attention to detail and problem-solving skills
- Ability to read and understand construction plans and specifications is a plus
Preferred Skills:
- Experience in HVAC controls or building automation systems (BAS)
- Familiarity with estimating processes and subcontract coordination
- Knowledge of construction project workflows and documentation
- Experience supporting sales or project management teams
