We are seeking an exceptional Client Experience Coordinator who is passionate about customer service, relationship-building, and creating outstanding client experiences. Position Summary
The Client Experience Coordinator serves as the face of The Skin Clinic, ensuring every client receives a warm welcome, exceptional service, and a seamless experience from their first interaction through ongoing care. The ideal candidate is professional, polished, highly organized, sales-minded, and passionate about helping clients achieve their goals.
Responsibilities
- Greet clients and create a welcoming, professional environment
- Manage appointment scheduling, confirmations, and follow-up communications
- Answer incoming phone calls, text messages, emails, and online inquiries
- Educate clients on services, memberships, packages, and treatment plans
- Assist providers in maximizing schedule efficiency and client retention
- Process payments, memberships, financing applications, and product sales
- Maintain accurate client records and documentation
- Support lead management and conversion efforts
- Coordinate client check-in and check-out processes
- Assist with marketing events, promotions, and in-office initiatives
- Maintain cleanliness and organization of reception and retail areas
- Collaborate with team members to deliver an exceptional client experience
- Meet individual and team performance goals
Preferred Qualifications
- Bachelor's degree preferred
- 3+ years of customer service, hospitality, sales, concierge, luxury retail, healthcare, or client experience roles
- Proven ability to build relationships and provide exceptional customer service
- Strong communication and interpersonal skills
- Highly organized with excellent attention to detail
- Comfortable discussing treatment recommendations, memberships, and packages
- Ability to multitask in a fast-paced environment
- Professional appearance and demeanor
- Experience with medical spas, aesthetics, wellness, healthcare, or luxury service industries preferred
- Experience with CRM or scheduling software preferred

- Day hours M 9-6, T 9-6, Th 8-5, F 8:30-4
