The Patient Coordinator / Insurance Coordinator is a key front-office role responsible for delivering an exceptional patient experience while ensuring accurate insurance verification, claims processing, and financial communication. This position serves as the first and last point of contact for patients, playing a critical role in schedule optimization, case acceptance, and overall practice success.
Key ResponsibilitiesPatient Experience & Front Desk Operations
- Greet and check in/check out patients with professionalism and warmth
- Answer phones, schedule appointments, and manage provider schedules efficiently
- Ensure all patient interactions reflect a high level of customer service
- Maintain a clean, organized, and welcoming front office environment
- Support daily huddles with schedule preparedness and accuracy
Insurance Verification & Benefits Coordination
- Verify patient insurance eligibility, benefits, and limitations prior to appointments
- Accurately document insurance details in the practice management system
- Communicate coverage, co-pays, deductibles, and estimated patient portions clearly
- Ensure all required documentation (x-rays, narratives, perio charting) is complete for claims
Billing, Claims & Collections
- Submit accurate and timely insurance claims
- Track and follow up on outstanding claims, especially 30/60/90+ aging
- Post insurance payments and adjustments accurately
- Collect patient payments at time of service (TOS) and discuss financial options
- Assist patients with financing options (CareCredit, third-party financing, etc.)
Schedule & Production Management
- Schedule patients with attached procedures/treatment codes for accurate forecasting
- Fill schedule gaps through patient outreach, reactivation, and unscheduled treatment follow-up
- Support practice production and collection goals through efficient scheduling and communication
- Help maintain a full and productive hygiene and doctor schedule
Administrative & Compliance Duties
- Ensure all patient records are complete, accurate, and HIPAA compliant
- Support End-of-Day (EOD) processes, including reports and financial reconciliation
- Maintain knowledge of insurance policies, coding updates, and payer requirements
- Work collaboratively with clinical, operations, and RCM teams
Qualifications
- Minimum 1–2 years of dental front office or insurance coordination experience preferred
- Strong knowledge of dental insurance plans, billing, and coding
- Experience with dental practice management systems Eaglesoft
- Excellent communication and customer service skills
- Strong attention to detail and organizational skills
- Ability to multitask and thrive in a fast-paced environment
Key Performance Indicators (KPIs)
- Insurance verification accuracy and completion rate
- Claims submission and aging (30/60/90 days)
- Collection percentage (goal: 95%+ of production)
- Schedule utilization and fill rate
- Case acceptance and patient satisfaction
