About the Opportunity
Kalamazoo Valley is seeking an Events Coordinator. This position coordinates all aspects of facility rentals and internal reservations for Arcadia Commons Campus, Bronson Healthy Living Campus, Groves Campus and Texas Township Campus.
Essential Job Functions
- Serves as a primary point of contact, coordinates facility rentals and reservations for all internal and external requests at the Arcadia Commons Campus, the Bronson Healthy Living Campus, Groves Campus and the Texas Township Campus.
- Responds to inquiries and reservations from the community including facilitating walk-throughs.
- Processes facility use agreements and contracts, summarizes charges and prepares requests for invoice and conducts necessary post event follow-up.
- Coordinates facility use logistics, including but not limited to room scheduling, coordination of setups and teardowns, parking, staffing, audio/visual equipment and other resource requests from multiple departments.
- Serves as the primary lead for assigned projects and partners with campus departments and external stakeholders to ensure the successful planning and execution of shared events and programs.
- Provides on-site support for featured college events and external rentals from load-in to loadout, manages access to site, assists with and troubleshooting usage of resources, resolves conflicts and reviews event timeline.
- Utilizes the college-wide scheduling software and room inventory for reservations and event resource requests in collaboration with academic scheduling, including training new users and troubleshooting problems.
- Supports operational projects such as market analysis, process improvement initiatives, data collection and space resource and capacity management utilizing applicable scheduling systems.
- Performs other related duties as assigned.

Minimum Qualifications:
Appropriate education, training, experience and talents are requirements for this position. An example of this would be a high school diploma or equivalent and three (3) years of related experience, or equivalent combination of training, education and experience.

Physical Demands:
The work is sedentary work which requires exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body. Requires mental acuity including the ability to make rational decisions through sound logic and deductive processes, the ability to express ideas by means of the spoken word and have close visual acuity.
Work Hours:
Core hours are Monday- Friday 7:00 a.m. -4:00 p.m.; occasional alternative hours including evenings and weekends may be necessary to support events and client demand.
