Position Overview
The HR Administrative Assistant is a temporary position onsite HR support role responsible for assisting with daily human resources operations. This position supports employee relations, staffing and onboarding activities, and general HR administrative functions to ensure continuity of service and smooth workforce operations.
- Schedule: 9 AM – 5 PM, M-F
- Duration: Through September 7, 2026
Essential Functions
Employee Relations & Employee Support
- Provides responsive, professional support to employees regarding questions, concerns, and workplace issues
- Maintains a positive and service-oriented approach in all employee and applicant interactions
- Assists with initial intake of employee concerns and escalates issues to HR leadership as appropriate
- Supports communication efforts to ensure employees are informed and supported
Staffing & Onboarding Support
- Supports hourly staffing efforts including sourcing assistance, applicant tracking, and coordination of candidate flow
- Assists with onboarding processes including background checks, new hire paperwork, HRIS entry (Paychex), and orientation scheduling
- Maintains job postings, hiring signage, and applicant tracking systems as needed
- Assists HR Manager with scheduling coordination and staffing support as required
HR Administration & Compliance Support
- Supports consistent application of company policies and procedures, including documentation and HR compliance processes (e.g., I-9, E-Verify, and leaves of absence administration support)
- Completes offboarding and termination processing steps as assigned
- Maintains employee records and HR files in accordance with company standards
- Updates and manages HR communication tools and supports employee communication initiatives, including stay and exit interview coordination
- Assigns and deactivates employee access badges as needed
General HR Support
- Provides backup support for HR team functions as needed
- Assists with HR projects and administrative tasks to support daily operations
- Performs other duties as assigned
Qualifications
- Strong proficiency in Microsoft Office (Outlook, Excel, Word)
- Bilingual English/Spanish (spoken and written) required
- Prior experience in Human Resources preferred
- Experience with HRIS systems (Paychex or similar) preferred
- Strong attention to detail and organizational skills
- Ability to maintain confidentiality at all times
- Strong communication and interpersonal skills
- Ability to work in a fast-paced, dynamic environment with changing priorities
- Demonstrated adaptability, problem-solving ability, and professionalism
