Job Description:
Indiana Floor Inc., a leading flooring contractor, is seeking a proactive and organized individual to join our team as an Office Administrator. This role is crucial in ensuring the smooth operation of our office, supporting our team in delivering exceptional service to our clients, and managing the administrative tasks specific to the flooring industry.
Responsibilities:
- Office Management: Oversee daily office operations, including managing supplies, handling correspondence, and maintaining office equipment to ensure a productive work environment.
- Project Coordination: Assist with scheduling and coordinating flooring installations, deliveries, and subcontractor activities, ensuring that all projects stay on track and within deadlines.
- Customer Communication: Handle incoming calls, emails, and customer inquiries with a focus on customer satisfaction. Provide clients with updates on their projects and resolve any issues promptly.
- Sales Support: Support the sales team by preparing quotes, processing orders, managing customer accounts, and coordinating with suppliers for timely delivery of materials.
- Documentation and Record-Keeping: Maintain accurate and organized records of contracts, invoices, purchase orders, and project documentation, both physical and digital.
- Billing and Invoicing: Assist in preparing and sending invoices to clients, track payments, and follow up on outstanding accounts to ensure timely payment.
- Scheduling: Coordinate and schedule appointments, site visits, and meetings for the sales and installation teams, optimizing their daily schedules.
- Vendor Management: Liaise with suppliers and vendors to ensure timely procurement of materials and services, and manage relationships to secure favorable terms.
- Compliance: Ensure that all administrative procedures comply with industry regulations and company policies, including handling necessary permits and insurance documentation.
- General Administrative Support: Provide administrative support to management and team members as needed, including organizing company events, training sessions, and meetings.
Requirements:
- High school diploma or equivalent; college degree preferred but not required.
- Experience in the flooring industry or a similar construction/contracting environment is a plus.
- Strong organizational and multitasking skills, with an ability to manage multiple projects and priorities simultaneously.
- Excellent communication and interpersonal skills, with a customer-focused approach.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with project management software is a plus.
- Ability to handle sensitive information with confidentiality and professionalism.
- Knowledge of billing, invoicing, and basic accounting principles is an advantage.
- Ability to work independently, take initiative, and solve problems effectively.
