Fast paced, multi-tasking and organized Executive Assistant/Transaction Coordinator needed in person to join a top real estate sales team. This role entails office logistics and general correspondence such as emailing brokers/clients, scheduling, coordinating with vendors, and managing the team inbox. This role must keep the team lead on schedule and run business related errands as needed. After hours availability needed when business calls for it – though standard hours are 9AM-5PM. This is an in-person position which will allow work from home on occasions. Note that by law, real estate assistants operating in this role must hold a valid NYS Real Estate Salesperson license.
Experience in real estate a plus but not required - this position is not a real estate salesperson position.

- Answer incoming calls, monitor and respond to the team inbox and keep the team calendar up to date, ensuring the team knows exactly where they need to be and when.
- Manage the backend of the sales process from start to finish, including but not limited to the following: scheduling appointments, gathering information for exclusive listing, entering buyer searches, preparing offers, overseeing the lease process, the closing process for each transaction, including communicating with attorneys, title companies, insurance agents, appraisers, and others involved in the process.
- Maintain team client database (CRM) as well as keeping contacts up to date.
- Assist in marketing initiatives including physical outreach/mailers, email campaigns for new listings and open houses, and coordinating with marketing on deal milestones for social media posts.
- Administrative duties including making copies, creating digital files and filing.
- Perform other ad-hoc duties as assigned.
Experience
- Previous experience as a Real Estate Assistant or a similar role (minimum 2 years preferred)
- Strong understanding of financial services and assets, including the mortgage process and financial and disclosure forms.
- Proficiency in math skills for handling financial calculations related to real estate transactions.
- Familiarity with Fair Housing regulations is highly desirable.
- Excellent organizational skills with attention to detail to manage multiple tasks effectively.
- Strong communication skills, both written and verbal, to interact professionally with clients and team members.
- Ability to work independently as well as collaboratively within a team environment.
- Proficient in using standard office software (e.g., Microsoft Office Suite) and real estate management tools.
