Summary:
We are seeking an experienced Office Manager / Administrative Assistant to support the Operations Director and day-to-day activities of a busy title and escrow office. This role is ideal for a highly organized professional with 5+ years of administrative or office management experience who can manage competing priorities while supporting transaction, accounting, compliance, and client-service functions. Title, escrow, real estate, mortgage, or other transaction-based experience is strongly preferred, though candidates without direct industry experience may still be considered. The successful candidate will help maintain efficient office operations while supporting teams through time-sensitive real estate transactions and closing activities.
What You’ll Do:
- Manage daily office operations, including facilities, technology resources, supplies, vendors, and office services.
- Provide administrative support to title officers, escrow officers, underwriters, management, and transaction teams.
- Track transaction pipelines and coordinate closing packages, reports, commitments, receipts, and related documentation.
- Coordinate scheduling, meetings, client communications, and interactions with buyers, sellers, lenders, agents, attorneys, and vendors.
- Process and coordinate accounts payable and receivable, payroll support, employee timekeeping, financial records, and escrow accounting administration.
- Maintain organized transaction files and records while supporting compliance, audits, security procedures, confidentiality, and document retention requirements.
Experience You’ll Need:
- 5+ years of experience in office management, administration, title, escrow, real estate, mortgage, or related professional services.
- Experience supporting transaction-based operations with multiple deadlines and time-sensitive workflows.
- Proficiency with Microsoft Office, including Outlook, Word, Excel, Teams, and PowerPoint.
- Experience with title and escrow production systems or document management platforms is preferred.
- Familiarity with QuickBooks or similar accounting/financial systems is a plus.
- Working knowledge of accounts payable, accounts receivable, payroll support, bookkeeping, or financial documentation is preferred.
- Title, escrow, settlement services, real estate transactions, or mortgage industry experience is a strong plus.
