Job Overview
We are seeking an experienced, highly-skilled Medical Front Desk Coordinator to join our busy medical office team. This critical role is the first point of contact for our patients and requires a professional, empathetic, and exceptionally organized individual. The ideal candidate will have a proven track record in medical front office operations, mastery of electronic health records (EHR), and expertise in patient registration, scheduling, and payment processing.
Key Responsibilities
- Patient Registration & Check-In/Out: Warmly greet and register patients, verifying all necessary demographic and insurance information at every visit. Manage patient flow efficiently.
- Scheduling appointments (new and follow-up) and managing the physician's schedule template.
- Electronic Health Record (EHR) updates, ensuring data accuracy and compliance.
- Insurance Verification & Financial Counseling: Verify patient insurance eligibility and benefits prior to services. Collect and process co-pays, deductibles, and past-due balances accurately.
- Communication & Triage: Professionally manage a high-volume multi-line phone system, appropriately triaging patient calls, routing clinical questions to MAs/nurses, and handling general inquiries.
- Administrative Compliance: Maintain strict HIPAA compliance and confidentiality standards in all patient interactions and record keeping.
- Records Management: Process incoming and outgoing medical records requests and referrals in compliance with office procedures.
- Office Operations: Coordinate supply ordering, maintain the organization and professional appearance of the reception area, and support team members with administrative tasks as needed.
Required Skills & Experience
- Minimum 2-3 years of continuous, recent experience working as a Front Desk Receptionist or Coordinator in a medical office setting.
- Expert knowledge of medical insurance verification, patient eligibility checks, and collecting patient financial responsibility (co-pays/deductibles).
- Exceptional organizational skills, proven ability to manage multiple priorities in a fast-paced clinical environment, and impeccable attention to detail.
- Outstanding professional and empathetic customer service skills, with excellent phone and written communication.
- Strong computer literacy, including proficiency with standard office software (e.g., Microsoft Office Suite).
- Strong typing skills and experience with medical documentation and data entry.
- Bilingual abilities (e.g., Spanish/English) are required and a strong asset in serving our diverse patient base.
