Administrative Assistant – Temporary Position
Purpose of Job:
The Administrative Assistant provides day-to-day administrative and operational support to the New York Branch, with primary responsibility for front desk operations, visitor reception, mail and courier services, meeting and conference room support, and general office administration.
In addition to these core responsibilities, the position will have opportunities to support the Branch’s corporate communications, employee engagement, cultural initiatives, and internal and external events, including graphic design, digital content creation, video editing, and business writing.
The position is designed for a highly motivated and growth-oriented individual who is eager to learn, develop new capabilities, and take on broader responsibilities over time. The ideal candidate will combine professionalism and strong service orientation with creativity, initiative, and a strong sense of ownership.
I Primary Responsibilities
A. Reception and Administrative Support
a. Serve as a primary point of contact at the Branch reception area and maintain a professional, welcoming, and organized front-office environment.
b. Greet and assist clients, visitors, business partners, vendors, and other guests, and coordinate with appropriate Branch personnel.
c. Answer and route incoming calls and general inquiries.
d. Receive, sort, distribute, and prepare incoming and outgoing mail, documents, packages, and courier deliveries, and maintain appropriate records as needed.
e. Coordinate messenger, courier, and overnight delivery services.
f. Maintain meeting and conference rooms and provide meeting support, including room setup, meeting materials, refreshments, and other logistical arrangements.
g. Maintain office, pantry, reception, and meeting-room supplies and coordinate replenishment as needed.
h. Provide administrative and logistical support for management meetings, employee activities, client events, and other Branch functions.
i. Prepare and process routine correspondence, documents, records, and other administrative materials.
j. Coordinate with internal departments and external vendors on routine office administration matters.
B. Corporate Communications and Culture Support
a. Assist in developing visual and digital materials for corporate communications, employee engagement, and corporate culture initiatives, including posters, presentations, digital displays, photographs, and other promotional materials.
b. Assist with video editing and production of short-form multimedia content for approved internal and external corporate communications.
c. Support the drafting, editing, and preparation of newsletters, event recaps, announcements, promotional materials, and other communications in English and Chinese.
d. Assist in planning and coordinating corporate events, employee engagement activities, community activities, and other cultural initiatives.
e. Support the maintenance and presentation of corporate branding and cultural materials throughout the workplace.
f. As experience and capabilities develop, take on broader responsibilities in corporate communications, event coordination, projects, and other assignments.
C. General Support
a. Work collaboratively with other members of the Administration and provide support for special projects as needed.
b. Perform other administrative duties and assignments as required.
Note:
- Pay Range USD $25/hr. - USD $35/hr.
- Actual salary is commensurate with candidate’s relevant years of experience, skillset, education and other qualifications.
