Come join our team as a Scheduler on our Patient Access Team. Training will be done on-site in the clinic. Once training is done, the position will be fully remote, with the occasional onsite meetings.
Hours for this position are M-TH 8:30am-5:00pm and Friday's 7:30am-4pm
Fox Valley Surgical Specialists has provided care to our patients since 1970, specializing in the areas of Endoscopy, General Surgery, Gastrointestinal/Colorectal Surgery, Vascular Surgery, Oncologic Surgery, Breast Surgery, and Endocrine Surgery.
General Summary: As an integral part of the Patient Access team, this nonexempt position is responsible for scheduling procedures and office visits for multiple providers and facilities.
Essential Job Responsibilities:
- Schedule appointments for procedures, imaging and office visits for multiple providers in multiple facilities.
- Answer incoming phone calls from patients needing to schedule/reschedule/cancel appointments and procedures.
- Collect and verify patient’s demographic, guarantor and insurance information.
- Use manual/computerized system to match physician/clinician availability with patient’s preferences in terms of date and time.
- Provide pre-op instructions to patients.
- Communicate as needed with physicians/clinicians and other staff about any patient concerns/issues related to scheduling.
- Other duties as assigned.
Education: High school diploma.
Experience: 1-2 years of office experience in an appointment scheduling position, preferably in a medical practice setting.

Performance Requirements:
Knowledge:
- Knowledge of medical practice protocols related to scheduling appointments and terminology.
- Knowledge of manual/computerized scheduling systems.
- Knowledge of EPIC system, preferable.
- Knowledge of customer service principles and techniques.
Skills:
- Skill in communicating effectively with physicians/clinicians about scheduling preferences.
- Skill in maintaining master appointment schedule via manual or computerized means.
Abilities:
- Ability to multitask effectively, dealing with phone calls, in-office patients, staff, and others pleasantly.
- Ability to communicate calmly and clearly with patients about appointments in all circumstances including when they are ill or have an emergency.
- Ability to analyze situations and respond appropriately.
- Ability to read, interpret and apply policies and procedures.
Equipment Operated: Standard office equipment with emphasis on computer hardware and software as well as telephone—computers, fax machines, copiers, printers, scanners, telephones, etc.
Work Environment: Remote Position. Exposure to communicable diseases and other conditions related to clinic setting.
Mental/Physical Requirements: Mostly sedentary with some standing, walking, reaching.
