Duties
- Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette
- Handle multi-line phone systems, screening and transferring calls efficiently
- Maintain accurate data entry using tools like Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and record-keeping
- Organize files, documents, and correspondence through meticulous filing systems and proofreading for accuracy
- Support calendar management and scheduling for meetings, appointments, and events
- Assist with clerical tasks such as typing reports, proofreading documents, and managing office supplies inventory
- Provide exceptional customer support by responding promptly to inquiries via phone or email and ensuring positive interactions
- Perform basic bookkeeping tasks including invoicing, expense tracking, and financial record maintenance
- Coordinate office management activities to optimize workflow and improve overall efficiency
- Support medical or dental receptionist duties if applicable, including appointment scheduling and patient check-in
Qualifications
- Proven experience in office management or administrative roles with strong clerical skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools
- Familiarity with QuickBooks or similar accounting software preferred for bookkeeping tasks
- Excellent organizational skills with keen attention to detail; ability to multitask effectively in a fast-paced environment
- Strong computer literacy complemented by good typing speed and accuracy
- Exceptional customer service skills with professional phone etiquette; bilingual abilities are highly desirable
- Experience working at a front desk or as a medical/dental receptionist is advantageous
- Demonstrated time management skills with the ability to prioritize tasks efficiently
- Personal assistant or office experience that includes calendar management is a plus
