Job Overview
This is a key operational role supporting trust account administration from open to close. You'll partner closely with Account Managers to serve as the connective tissue between clients, internal teams, and outside parties - ensuring accuracy, compliance, and a seamless client experience throughout the life of every account.
Location: Salem, NH (Hybrid for NH residents only. Otherwise, fully onsite)
Responsibilities
· Oversee new account openings, review trust instruments, and verify system records for accuracy
· Partner with Account Managers to administer key account events: gifts, charitable contributions, estate transfers, UPIA elections, share splits, and more
· Review and approve client disbursements, including utilities, taxes, insurance, and personal expenses
· Maintain account documentation and electronic communications in the firm's document management system
· Conduct annual administrative reviews for compliance with trust terms and regulatory requirements; track beneficiary milestones and termination dates
· Lead account closings and final asset distributions, including termination schedules, fee calculations, and outside Trustee coordination
· Act as point person on special administration projects across internal departments
· Support the Director of Operations in driving departmental growth and firm-wide initiatives
Qualifications
· Bachelor's degree in a related field; CTFA designation preferred
· 5+ years of trust administration experience with knowledge of trusts, estates, fiduciary, and individual tax requirements
· Experience with trust accounting systems and custodial platforms strongly preferred
· Strong organizational skills and ability to manage competing priorities in a fast-paced environment
· Excellent written and verbal communication skills

· Salary of $100,000 - $130,000 based on experience/qualifications
