We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will play a pivotal role in ensuring the smooth operation of our office by providing essential administrative support. This position requires strong communication skills, a customer-focused attitude, and the ability to manage multiple tasks efficiently. This canidate will be the main contact for all new employees to the school and ensure that applications and requred documentation are complete and up to date.
NOTE: The candidate must be fluent in English and Spanish.
Duties
- Serve as the first point of contact for visitors and clients at the front desk, providing exceptional customer service.
- Serve as the first point of contact for all calls coming into the school.
- Handle incoming calls and emails professionally, directing inquiries to the appropriate personnel.
- Human Resource Tasks: On boarding, reviewing all new employee paper work to ensure accuracy, enaure all required documentation for new employees is submitted, and ensure all required trainings for new personnel are complete and accurate.
- Maintain organized filing systems, both physical and electronic, to ensure easy access to important documents.
- Assist with data entry and maintain accurate records using computerized systems.
- Prepare reports, presentations, and correspondence as needed.
- Support various administrative tasks such as ordering supplies, managing inventory, and maintaining office equipment.
Skills
- Proven experience in an administrative role or similar position is preferred.
- Human Resource Experience: Involved in the hiring and on boarding process for all new employees.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent time management skills to meet deadlines in a fast-paced environment.
- Proficient in using office software applications (e.g., Microsoft Office Suite) and other relevant computer programs.
- Ability to translate both spoken and written text from English to Spanish and Spanish to English.
- Exceptional typing skills with attention to detail for accurate documentation.
- Strong interpersonal skills with a focus on customer service excellence.
- Ability to work independently as well as collaboratively within a team environment.
