Our administrative support team plays a vital role in the client experience and daily operations of our practice. This is not a traditional front desk role. Our environment is fast-paced, emotionally nuanced, and deeply human—requiring individuals who can balance warmth with structure, empathy with professionalism, and compassion with clear boundaries.
We are seeking a highly organized, tech-savvy, emotionally regulated professional who thrives in dynamic environments and takes initiative without constant oversight.Position Expectations
This is a full-time, long-term position. We are seeking candidates committed to remaining in the role for a minimum of one year.
Schedule: Monday–Thursday, 9:00 AM–5:30 PM; Friday, 9:00 AM-5:00 PM
Location: In person, Oxford, MS
Weekends: As needed
Key Responsibilities
- Serve as the first point of contact for clients with professionalism and warmth
- Answer high-volume phone calls, emails, and client inquiries
- Assist clients in being paired with an appropriate therapist based on emotional, scheduling, and financial needs
- Verify insurance eligibility and explain deductibles, copays, and coinsurance
- Prep and monitor therapy claims, billing codes, and client balances
- Navigate multiple systems including EHR software, Google Workspace, scheduling platforms, and spreadsheets
- Maintain HIPAA compliance and confidentiality at all times
- Support scheduling, intake coordination, medical records, payments, and administrative workflows
- Troubleshoot operational issues and assist leadership and clinical staff as needed
- Help maintain a calm, organized, and welcoming office environment, including light housekeeping duties
Qualifications
- Associate degree required
- Minimum 2 years of receptionist experience required
- Minimum 2 years of customer service experience required
- Experience in medical, mental health, or healthcare settings preferred
- Strong communication, multitasking, and organizational skills
- Ability to handle difficult conversations with professionalism and emotional regulation
- Strong attention to detail, discretion, and personal accountability
- Cultural sensitivity and professionalism are essential
