Responsibilities
- Respond promptly and courteously to customer inquiries via multi-line phone systems, email, and live chat platforms.
- Maintain accurate records of customer interactions using productivity software such as Microsoft Office, Google Workspace, and spreadsheets.
- Manage front desk operations, including greeting visitors, scheduling appointments, and handling incoming calls with professional phone etiquette.
- Perform data entry tasks with high accuracy using computer literacy skills, including typing, proofreading, and document management.
- Assist with office management duties such as filing, organizing client information, and supporting administrative workflows.
- Support bookkeeping activities by tracking transactions and maintaining organized financial records using QuickBooks or similar accounting tools.
- Collaborate with team members to ensure timely completion of tasks related to client communication, calendar management, and office organization.
Requirements
- Proven experience in office management or administrative support roles with strong clerical skills.
- Excellent computer skills including proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and data entry software.
- Prior experience working with multi-line phone systems and providing exceptional customer service.
- Bilingual abilities are highly desirable to effectively communicate with diverse client bases.
- Strong organizational skills with the ability to manage multiple priorities efficiently.
- Experience in front desk or medical/dental receptionist roles is a plus; familiarity with office etiquette is essential.
- Knowledge of bookkeeping practices and QuickBooks is beneficial but not mandatory.
- Demonstrated ability to handle sensitive information discreetly while maintaining professionalism at all times.
