Overview
We are seeking a dedicated and detail-oriented Healthcare Administrative Assistant/Client Experience Specialist to join our team on a part-time basis. This role is vital in providing exceptional administrative support and ensuring a positive patient experience within our healthcare office. The ideal candidate will possess strong mental health/medical administrative skills, familiarity with electronic health records (EHR) systems, and excellent communication abilities to facilitate smooth clinic operations and patient interactions.
Responsibilities
- Manage patient scheduling, appointment confirmations, and rescheduling using EMR systems
- Verify insurance coverage and perform insurance verification processes efficiently.
- Assist with medical billing and collection activities, including CPT coding, ICD-9/ICD-10 coding, and documentation review.
- Maintain accurate and organized medical records in compliance with HIPAA regulations.
- Support front desk operations including patient check-in/out, multi-line phone system management, and patient service inquiries.
- Handle intake procedures for new patients and update patient information accurately within EHR systems.
- Review clinical documentation for completeness and accuracy; assist with care plan documentation.
- Coordinate with clinical staff to ensure smooth office flow and effective communication between departments.
- Uphold confidentiality standards according to HIPAA guidelines while managing sensitive health information.
- Provide excellent customer service by addressing patient needs professionally and courteously.
Skills
- Proficiency in medical office management software
- Strong knowledge of medical terminology, ICD coding (ICD-9/ICD-10), CPT coding, and health information management standards.
- Experience with insurance verification processes and medical billing procedures.
- Familiarity with EMR/EHR systems
- Excellent organizational skills with attention to detail in documentation review and data entry.
- Strong computer skills including Microsoft Office Suite (Word, Excel), typing (10-key), and multi-line phone systems.
- Bilingual abilities are a plus to enhance patient communication.
- Previous clinic or medical office experience preferred; dental clinic experience is advantageous.
- Exceptional customer service skills with professional phone etiquette and effective communication abilities.
