We're looking for a key operator behind the scenes — someone who keeps transactions moving, takes care of clients, and helps the business run better every day. This isn't a passive assistant role. You'll own your responsibilities, build systems that outlast you, and take pride in keeping things tight when it gets busy.
This is a position built to scale. It starts part-time (around 20 hours a week), but the hours and pay are designed to grow as the team grows and you take on more. The starting range is a floor, not a ceiling.
The Two Sides of This Role
- Business Administrator: You help the business run smarter — building and improving systems, supporting marketing, tracking production, and finding ways to make the business more efficient and the client experience better.
- Transaction Coordinator: Once an agreement is signed, you take the baton — managing the transaction through closing. You keep clients informed, documents in order, deadlines met, and all the moving pieces coordinated. You're the steady hand when things get stressful.
What You'll Be Doing
- Move transactions from agreement to close (the core of the role)
- Serve as the main point of contact throughout each transaction
- Manage listing documents, escrow paperwork, and compliance
- Coordinate inspections, showings, and closing logistics
- Keep the CRM and client records accurate and up to date
- Support marketing, client follow-up, and reviews
- Build systems that make the business more efficient
Important — How the Hours Work: This is a part-time, in-office role in Meridian. You likely won't start out working more than ~20 hours a week, but much of the work is time-sensitive. You'll often need to stop what you're doing to reply, respond, or turn around contract work right away. Expect quick responsiveness during the day and occasional evenings or weekends — that's the nature of real estate.
Skills & Qualifications
- Real estate license required — or a genuine commitment to obtaining one right away
- Administrative or transaction-coordination background strongly preferred
- Exceptional organizational and prioritization skills — you don't let things fall through the cracks
- Ability to manage multiple active transactions and projects at once
- Strong tech skills — Google Apps, CRMs, spreadsheets, social media, Canva
- Excellent written and verbal communicator with strong attention to detail
- High integrity — you understand confidentiality, discretion, and professionalism
- Self-directed — you don't need to be told twice or managed closely
