Position Overview
The Operations Coordinator serves as the organizational and scheduling hub between the Project
Management, Field Operations, and Sales departments. This position is responsible for managing
manpower and project schedule data, forecasting workload capacity, and ensuring smooth
communication across departments.
This role is designed for a detail-oriented professional who excels in coordination, planning, and
data organization. The Operations Coordinator will help streamline internal systems, improve
visibility of active and upcoming projects, and provide vital operational support to Project
Managers and the Construction Manager.
Key Responsibilities
Project Scheduling & Forecasting
Collect and maintain manpower data from Project Managers and the General
Superintendent to create an accurate company-wide manpower schedule.
Develop and update project schedules in coordination with PMs and the Construction
Manager.
Forecast workload and capacity for upcoming projects in partnership with Sales and
Estimating.
Support labor and schedule planning for project start-up, continuity, and completion.
Review and assist with payroll approvals and employee timecards
Operations Reporting & Analysis
Compile weekly and monthly operational reports summarizing workload, manpower, and
progress.
Track field productivity metrics, schedule variances, and job progress across all divisions.
Provide the Construction Manager and Project Managers with data-driven insights for
resource allocation.
Assist in monitoring project milestones, budgets, and change order impacts.
Cross-Department Coordination
Serve as a key link between the Project Management team, Administrative staff, and
Field Leadership.
Facilitate regular coordination meetings and ensure consistent communication between
departments.
Support project setup and documentation standards to ensure consistent processes
company-wide.
Help implement and manage project management tools such as Smartsheet, Procore, or
equivalent systems.
Process Improvement & Support
Identify inefficiencies in project coordination workflows and propose process
improvements.
Assist in developing standardized templates and reporting tools for PMs and Admins.
Support ongoing initiatives for operational efficiency, manpower planning, and schedule
optimization.
Qualifications
2–5 years of experience in construction, project coordination, or operations support.
Strong proficiency with Microsoft Excel and scheduling/project management software.
Excellent organizational and communication skills with attention to detail.
Ability to multitask and manage information across multiple projects.
Experience in mechanical or refrigeration contracting preferred but not required.
Desire to grow into a Project Manager or Operations Manager role.

Pay: $45,000.00 - $60,000.00 per year
