Overview
Operations & Customer Success Manager
Bio Health Solutions is seeking a highly organized, detail-oriented Operations & Customer Success Manager to support our growing domestic and international animal health business. This is a dynamic role for someone who enjoys managing multiple projects, working with customers around the world, solving problems, and ensuring operational excellence across sales, logistics, inventory, trade shows, and new product launches.
The ideal candidate is exceptionally organized, strong with numbers, technologically savvy, customer-focused, and capable of managing a wide variety of responsibilities with accuracy and professionalism.
Key Responsibilities
Customer Service & Sales Support
- Serve as a primary point of contact for domestic and international customers.
- Process and manage customer purchase orders.
- Create and distribute customer invoices.
- Track customer payments and follow up on outstanding accounts receivable.
- Support distributors and customers with product information, documentation, and regulatory requirements.
- Maintain strong relationships with customers, distributors, and business partners.
- Assist with customer outreach regarding new products, promotions, and company updates.
International Operations & Export Documentation
- Prepare and manage export documentation including:
- Shipper's Letter of Instruction (SLI)
- Certificate of Origin (COO)
- Commercial invoices
- Additional international shipping and customs documentation as required
- Coordinate with freight forwarders, distributors, and international customers.
- Manage document authentication and notary processes for international markets, including Korea and other countries.
Inventory & Supply Chain Coordination
- Track inventory levels at manufacturing and distribution partners.
- Monitor inventory trends and help identify replenishment needs.
- Create and manage purchase orders for materials and production requirements.
- Coordinate with manufacturing partners to support uninterrupted product availability.
Trade Show & Event Management
- Coordinate all company trade show activities.
- Secure booth space and manage exhibitor registrations.
- Coordinate booth furnishings, carpet, electric, internet, and other event services.
- Manage shipment of booth materials and event logistics.
- Represent the company professionally at industry events and customer meetings.
New Product Launch & Regulatory Support
- Assist with planning and execution of new product launches.
- Coordinate launch materials, communications, and internal tracking.
- Support regulatory documentation and customer approval requirements.
- Assist with reporting and compliance-related activities.
Business Operations & Project Management
- Develop and maintain spreadsheets, tracking systems, forms, and reports.
- Create and manage PDF forms and business documentation.
- Assist management with special projects, process improvements, and operational initiatives.
- Support inventory planning, product strategy, and business development projects.
- Identify opportunities to improve efficiency and streamline company operations.
Training & Communication
- Conduct product training sessions for customers and distributors.
- Assist with both virtual and in-person presentations.
- Communicate professionally with domestic and international business partners.
Qualifications
Required Skills
- Exceptional organizational and time management skills.
- Strong mathematical aptitude and attention to detail.
- High level of accuracy with data, reporting, and documentation.
- Advanced computer skills.
- Strong proficiency with:
- Google
- Microsoft Excel
- Spreadsheets and reporting tools
- PDF editing and form creation
- Excellent written and verbal communication skills.
- Ability to manage multiple projects simultaneously.
- Strong problem-solving abilities and initiative.
Preferred Experience
- Customer service or account management experience.
- International shipping and export documentation experience.
- Inventory management and purchasing experience.
- Trade show and event coordination experience.
- Experience working with distributors, manufacturers, or supply chain partners.
- Animal health, veterinary, pharmaceutical, nutraceutical, or healthcare industry experience is a plus.
