Responsibilities
- Greet visitors, clients, and staff with enthusiasm and professionalism, ensuring a warm and welcoming atmosphere.
- Manage multi-line phone systems efficiently, directing calls accurately and courteously while maintaining excellent phone etiquette.
- Handle data entry tasks with precision using productivity software such as Microsoft Office and Google Workspace, including filing, proofreading, and updating records.
- Assist with office management duties such as calendar management, appointment scheduling, and coordinating meetings or events.
- Support administrative functions like bookkeeping using QuickBooks, maintaining filing systems, and managing correspondence.
- Provide exceptional customer support by addressing inquiries promptly and professionally across various channels.
- Maintain organization of the front desk area to ensure a tidy environment that reflects our professional standards.
Requirements
- Proven experience in office management or administrative roles with strong clerical skills.
- Excellent computer literacy with proficiency in Microsoft Office Suite, Google Workspace, data entry, and general technical proficiency.
- Prior experience working as a receptionist in medical or dental settings is a plus; familiarity with medical or dental office procedures is advantageous.
- Bilingual abilities are highly desirable to serve diverse client needs effectively.
- Strong organizational skills with the ability to multitask efficiently while managing time effectively.
- Demonstrated customer service excellence coupled with professional phone etiquette.
- Experience with bookkeeping software like QuickBooks and familiarity with office productivity tools such as typing, proofreading, filing, and calendar management.
- Personal assistant or front desk experience that showcases your ability to handle multiple responsibilities seamlessly.
