With a strong, compassionate foundation built in Maryland since 2003, we are excited to expand our proven model of care to Washington State as a new provider for the Department of Social and Health Services (DSHS) Developmental Disabilities Administration (DDA). We are seeking a dynamic and organized Office Manager to be a cornerstone of our new Olympia office as we grow our presence and impact across the state.
Position Overview
As the Office Manager for our Olympia location, you will be the operational and administrative leader on the ground. This is a pivotal role that blends day-to-day office management with strategic support for our agency's growth. The ideal candidate is a local professional with direct experience in disability services, a proactive problem-solver, and someone who thrives in a fast-paced, startup-like environment where multitasking and a "can-do" attitude are essential.
Key Responsibilities
- Operational Leadership: Oversee all daily office functions, including scheduling, vendor management, supply procurement, correspondence, and maintenance of an efficient, welcoming office environment at our 618 Quince St. location.
- Compliance & Records Management: Ensure meticulous adherence to all DSHS/DDA regulations, HIPAA requirements, and company policies. Maintain accurate, secure, and organized client and personnel files.
- Client & Community Relations: Serve as a knowledgeable and compassionate primary contact for clients, families, support staff, and DSHS/DDA representatives. Build and maintain strong community partnerships to support agency outreach and growth.
- Staff & HR Support: Facilitate the onboarding process for new support staff, manage training documentation, assist with scheduling coordination, and support human resources functions in partnership with headquarters.
- Financial Administration: Perform essential bookkeeping tasks, process invoices, manage petty cash, and assist with budget tracking and financial reporting.
- Growth Initiatives: Actively support the agency's expansion by assisting with marketing materials, coordinating local events, and implementing systems to scale operations efficiently.
Qualifications & Requirements
- Required: Minimum of 2 years of office management or senior administrative experience.
- Required: At least 1 year of professional experience within disability services, specifically with DSHS/DDA supported living services or a closely related field in Washington State.
- Required: In-depth knowledge of confidentiality laws, HIPAA, and compliance standards relevant to protected health information (PHI).
- Required: Exceptional organizational, time-management, and multitasking skills with unwavering attention to detail.
- Required: Outstanding interpersonal, written, and verbal communication skills; ability to interact with empathy and professionalism with diverse stakeholders.
- Required: High proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with database or EHR systems.
- Required: Must be a resident of the Olympia area or surrounding communities.
- Preferred: Associate’s or Bachelor’s degree in Business Administration, Healthcare Administration, Social Work, or a related field.
