Receptionist / Administrative Assistant - Full Time Days M-F
Job Summary:
Polaris Healthcare & Rehabilitation Center is seeking a warm, organized, and dependable Receptionist / Administrative Assistant to serve as the welcoming face of our community. This role supports residents, families, staff, and visitors while helping maintain smooth daily operations in a healthcare environment that requires professionalism, compassion, and attention to detail.
Job Responsibilities:
Greet residents, families, visitors, and vendors with a friendly, professional demeanor
Answer and route incoming phone calls
Assist families with check-ins, visitation procedures, and general inquiries
Maintain confidentiality and comply with HIPAA and facility policies
Handle incoming/outgoing packages and deliveries
Assist with scheduling meetings and resident transportation
Perform data entry, filing, scanning, and maintenance of resident records
Provide general administrative support to department managers
Work independently, exhibit flexibility, personal integrity, and be able to work effectively with residents, personnel, families, and support agencies
Demonstrate tactful interpersonal communication and problem-solving skills
Qualifications:
High school diploma or equivalent required
Experience in a healthcare, long-term care, or skilled nursing facility preferred
Strong communication skills and a calm, professional presence
Proficiency with Microsoft Office and comfort with electronic health record systems (EHR experience is a plus)
Ability to multitask in a fast-paced environment with frequent interruptions
Strong organizational skills and attention to detail
Ability to handle sensitive information with discretion
Compassionate, patient, and comfortable interacting with residents and families
Job Type: Full Time Position
Hours: Monday through Friday, 8:00 am to 4:00 pm
