Position Summary
The Construction Finance Coordinator is responsible for administering and coordinating all aspects of the construction draw process, ensuring timely and accurate funding of construction projects. This role serves as the primary liaison between Finance, Real Estate Development, lenders, contractors, and vendors to facilitate draw requests, track project budgets, monitor funding sources, and maintain financial documentation. The Construction Finance Coordinator supports the financial health of construction projects through detailed analysis, reporting, and compliance with internal controls and lending requirements.
Construction Draw Administration
Construction Draw Administration
- Manage the end-to-end construction draw process for multiple projects.
- Prepare, review, and submit draw packages to lenders and funding partners.
- Verify contractor invoices, pay applications, lien waivers, and support documentation.
- Monitor draw schedules and funding timelines to ensure timely project payments.
- Track approval status of draw requests and coordinate issue resolution.
· Administers internal and external reporting processes, ensuring all stakeholders are updated and aware of critical issues
· Maintains continuous lines of communication, keeping the Finance and Real Estate Development team members informed
· Maintains project files in an orderly manner, facilitating access by other staff members and ensuring historical data is easily accessible for potential projects and other purposes
Financial Management & Reporting
- Maintain project budgets, funding schedules, and cost tracking reports.
- Reconcile draw proceeds with project expenditures.
- Monitor project costs against approved budgets and identify variances.
- Prepare periodic reports on project funding, cash flow, and budget utilization.
- Assist with forecasting construction cash requirements.
Finance and Accounting
· Ensure compliance with generally accepted accounting principles (GAAP)
· Prepare and post journal entries to the general ledger
· Work with team on Accounts Receivable collections
· Post cash receipts payments against open invoices
· Reconcile monthly account reconciliation
· Track Construction Draws against funding and work with Real Estate Development team
Compliance & Documentation
- Ensure all draw documentation complies with lender requirements and company policies.
- Maintain organized project files, contracts, amendments, and funding records.
- Coordinate collection of lien waivers, insurance certificates, and required project documentation.
- Support audit requests and provide documentation as needed.
Cross-Functional Coordination
- Collaborate with Real Estate Development Teams, Accounting, and external stakeholders.
- Serve as a point of contact for lenders, contractors, consultants, and inspectors.
- Coordinate site inspection requirements related to draw requests.
- Facilitate communication regarding funding status, payment timing, and project financial matters.
Process Improvement
- Identify opportunities to improve construction finance and draw administration processes.
- Assist in developing standardized procedures and internal controls.
- Support implementation and maintenance of construction management and financial software systems.
- Completes accurate and compelling applications for financing, adhering to funder instructions
- Performs other duties as assigned
Experience
- Strong project and administrative management experience with proven ability to manage multiple projects proactively and effectively
- Real estate development experience preferred
- Credit underwriting experience a plus
- Construction loan draws administration
- Grant application and management experience a plus
Education
- Associate’s degree in accounting, Finance, Business Administration, Construction Management, or related field required.
- Bachelor's Degree preferred.
Experience
· 3–5 years of experience in construction accounting, project accounting, finance, lending, or construction administration. (REQUIRED)
· Experience in managing construction draw processes required. (REQUIRED)
· Experience working with construction budgets, contracts, and lender requirements is required.
· 3-5 years of experience in a Finance/Accounting role (REQUIRED)
Knowledege, Skills, and Abilities
- Strong understanding of construction financing, draw requests, and payment applications.
- Knowledge of accounting principles and financial reporting.
- Proficient in Microsoft Excel and financial management software.
- Ability to analyze budgets, invoices, and financial documentation.
- Excellent organizational and project management skills.
- Strong written and verbal communication abilities.
- Ability to manage multiple projects and deadlines simultaneously.
- High attention to detail and accuracy.
- Ability to work with various software platforms including Microsoft Office Suite and project management systems and databases
- Ability to work with integrity and ethics
- Possesses valid Florida driver's license and own actively insured transportation

Pay: $80,000.00 - $85,000.00 per year
