Job Summary
We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. This role is vital in ensuring smooth administrative workflows, exceptional customer service, and efficient office management. The ideal candidate will be proactive, detail-oriented, and possess strong communication skills to support our team and clients effectively. As an Office Manager, you will oversee administrative functions, maintain and help improve office procedures. Oversee communications and projects that affect multiple locations.
Duties
- Manage front desk operations, handling inquiries, and directing calls with professional phone etiquette.
- Ensure seamless communication within the office and with external contacts.
- Oversee calendar management, scheduling appointments, meetings, and coordinating events to optimize team productivity.
- Maintain accurate data entry records using Microsoft Office, Outlook, and QuickBooks for bookkeeping and administrative purposes.
- Organize electronic filing systems, manage document proofreading, and ensure all records are up-to-date and easily accessible.
- Support customer service efforts by providing exceptional support to clients via phone or email, addressing inquiries promptly.
- Perform clerical tasks such as photocopying, mailing, inventory management, and assisting with personal assistant duties as needed.
- Manage office supplies inventory and coordinate with vendors to ensure the office is well-stocked and operational.
- Assist with bookkeeping tasks including invoicing, expense tracking, and basic financial record keeping.
- Ensure the office environment maintains a professional appearance at all times.
Experience
- Proven experience in office management or administrative roles within a professional setting.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Outlook, and QuickBooks.
- Previous clerical experience involving data entry, filing systems, proofreading, and document management.
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Exceptional customer service skills coupled with effective phone etiquette and strong writing skills
- Experience working as an office manager or medical sales administration is a plus.
- Familiarity with office equipment such as fax machines, scanners, and copier machines is preferred.
- Demonstrated ability to manage time effectively while handling multiple priorities simultaneously.
