Position Summary
The Logistics Coordinator supports the daily execution of warehouse and logistics operations by coordinating inbound and outbound shipments, maintaining accurate inventory records, preparing shipping documentation, and serving as a key communication link between warehouse operations, production, planning, customer service, vendors, and transportation carriers.
This position plays a critical role in ensuring the efficient flow of materials and finished goods while maintaining inventory accuracy, on-time shipments, regulatory compliance, and excellent customer service. The ideal candidate is highly organized, meticulous, and thrives in a fast-paced manufacturing environment.
Essential Duties and Responsibilities
Logistics Coordination
- Coordinate daily inbound and outbound shipments to ensure timely receipt and delivery of materials and finished goods.
- Schedule inbound and outbound appointments and maintain accurate docking schedules.
- Coordinate shipment priorities with Production, Planning, Customer Service, Warehouse Operations, and transportation carriers.
- Monitor shipment status and proactively communicate delays or scheduling issues to appropriate departments.
- Assist in managing dock door assignments to maximize operational efficiency.
Shipping & Receiving
- Prepare and process Bills of Lading (BOLs), packing lists, shipping labels, receiving documentation, and other transportation paperwork.
- Verify shipping documentation for completeness and accuracy.
- Investigate, document, and resolve shipping discrepancies, damaged freight, shortages, and delivery issues.
Inventory Control
- Maintain accurate inventory transactions within the ERP system.
- Support cycle counts activities and annual physical inventory.
- Research and resolve inventory discrepancies.
- Assist with inventory accuracy initiatives and continuous process improvements.
Warehouse Support
- Coordinate daily workflow with warehouse personnel to support shipping priorities.
- Support warehouse organization and cleanliness in preparation for annual physical inventories and SQF/AIB audits.
- Ensure shipping and receiving activities comply with company procedures and food safety requirements.
Systems & Administration
- Maintain accurate information within ERP and Transportation Management Systems (TMS).
- Enter data with high accuracy.
- Respond promptly to internal and external emails and phone inquiries.
- Prepare and distribute daily end-of-day operational reports.
- Maintain organized shipping and receiving records.
Compliance
- Ensure compliance with company policies, transportation regulations, food safety requirements, and applicable customer standards.
- Follow all company safety procedures and participate in continuous improvement initiatives.
Qualifications
Required
- High school diploma or GED.
- Minimum one (1) year of experience in logistic coordination, warehouse operations, shipping/receiving, transportation, or administrative support.
- Proficiency with Microsoft Office, including Excel, Outlook, and Word.
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Ability to prioritize multiple tasks in a fast and demanding environment.
- Strong mindfulness and data accuracy.
Preferred
- Experience in a manufacturing or consumer packaged goods (CPG) environment.
- Experience using ERP systems (SAP, Microsoft Dynamics, NetSuite, Oracle, or similar).
- Experience with Transportation Management Systems (TMS).
- Experience with RF scanners and inventory management systems.
- Experience coordinating common carriers and freight providers.
- Bilingual (English/Spanish) preferred.
