Job Overview:
We are looking for a dependable, organized, and professional Administrative Coordinator to support the day-to-day administrative operations of our company. This position serves as an important point of contact for employees, customers, vendors, and visitors while also assisting with a variety of office functions and administrative responsibilities.
The ideal candidate is organized, trustworthy, comfortable working independently, and able to manage multiple responsibilities while maintaining a professional and helpful attitude.
Job Responsibilities:
- Answer incoming phone calls and accurately direct callers to the appropriate personnel.
- Greet and assist a limited number of walk-in customers and visitors in a professional and courteous manner.
- Perform general administrative and clerical duties as assigned.
- Scan, organize, and electronically file invoices and other company documents.
- Enter designated parts sales and other information into Excel tracking spreadsheets accurately and consistently.
- Maintain organized electronic and physical filing systems.
- Monitor office supply inventory and place orders as needed to ensure adequate supplies are available.
- Assist with planning and coordination of company and employee events.
- Prepare documents, correspondence, spreadsheets, and other administrative materials as needed.
- Assist various departments with administrative tasks and projects.
- Handle confidential company and employee information with discretion and professionalism.
- Perform other administrative duties and special projects as they arise.
Qualifications:
- Previous office, administrative, receptionist, or customer service experience preferred.
- Working knowledge of Microsoft Office, including Word, Excel, Outlook, and Teams.
- Comfortable entering and maintaining information in Excel spreadsheets.
- Strong organizational and time-management skills.
- Excellent attention to detail and accuracy.
- Professional and friendly communication skills, both in person and over the phone.
- Ability to handle confidential information with discretion.
- Ability to prioritize tasks and manage multiple responsibilities.
- Dependable and capable of working independently with minimal supervision.
- Strong attendance and punctuality.
- Ability to work effectively as part of a team.
