A high-producing real estate agent is seeking a highly responsive and relationship-focused Lead Concierge & Client Engagement Specialist to serve as the first point of contact for inbound buyer and seller leads generated through multiple lead sources. This role is responsible for ensuring every opportunity receives immediate attention, building rapport with prospective clients, and creating opportunities for live introductions with the agent whenever possible.
The position combines immediate lead response with ongoing lead nurturing, follow-up, and CRM management to ensure no opportunity falls through the cracks. Success in this role requires exceptional responsiveness, strong communication skills, attention to detail, and the ability to maintain meaningful conversations while facilitating seamless handoffs between prospective clients and the agent.
Key Responsibilities
- Respond promptly (under 30 seconds) to inbound buyer and seller leads.
- Engage prospects through phone, text, email, and CRM communication tools.
- Build rapport and gather information regarding real estate needs, timelines, and goals.
- Facilitate live introductions and conference calls between prospects and the agent whenever possible.
- Maintain accurate notes and records within CRM systems.
- Follow up with leads who are not immediately ready to move forward.
- Re-engage older leads and nurture prospects through ongoing communication.
- Monitor multiple lead generation platforms and communication channels.
- Ensure no lead or opportunity falls through the cracks.
- Provide regular updates regarding lead activity and opportunities.
- Maintain organized lead records and follow-up schedules.
Schedule & Availability
This is a fully remote position that combines flexibility but with a high level of accountability and responsiveness.
The role requires maintaining availability during on call lead coverage hours, generally spanning a 12-hour daily window. Actual active work time will vary based on lead volume and follow-up activity but is expected to actually average only approximately six hours per day.
Candidates should have a home office or dedicated workspace and be comfortable structuring their day around responsiveness to incoming leads. While the position offers significant flexibility, it is not designed for someone who is frequently away from their computer or unavailable during coverage hours. The flexibility in this role comes from managing your workload, not from being unavailable. The ideal candidate can remain consistently accessible throughout the coverage window and quickly pivot from other tasks when a live lead opportunity arises. Due to the importance of immediate lead response, candidates should be able to structure their daily routine in a way that allows them to remain consistently available from their dedicated workspace during designated "on call" hours.
Qualifications
- Excellent verbal and written communication skills.
- Strong customer service, sales, appointment-setting, or relationship-building experience preferred.
- Ability to establish rapport quickly and maintain engaging conversations.
- Strong organizational skills and attention to detail.
- Ability to work independently with minimal supervision.
- Comfortable handling multiple conversations and priorities throughout the day.
- Proficient with Microsoft Office applications, including Outlook, Word, and Excel.
- Experience using Customer Relationship Management (CRM) software preferred.
- Demonstrated ability and willingness to learn new technology platforms, communication tools, lead-generation systems, and software applications to improve efficiency and effectiveness in the role.
- Reliable internet connection, computer, and phone access required.
