SUMMARY:
The Facilities and Event Operations Assistant, under general supervision, provides administrative and operational support for facility rentals, maintenance coordination, and event logistics. This position serves as a primary point of contact for internal and external stakeholders, assists in coordinating pre-event operations for athletic contests, and supports overall facility readiness and usage.
DUTIES & RESPONSIBILITIES:

Serve as a liaison for local high schools, UIL officials, and external groups regarding facility rentals, ensuring timely communication and coordination.

Act as the primary point of contact for all facility rental inquiries and coordinate scheduling, usage, and logistics.

Assist in the coordination of facilities operations, including submitting and tracking work orders and collaborating with SSC and other service providers to ensure completion of maintenance and repair tasks.

Support pre-game and event operations for athletic contests, including football, soccer, volleyball, and basketball, ensuring facilities and logistics are prepared.

Assist in coordinating event logistics, including setup requirements, facility access, and communication with event stakeholders.

Maintain records related to facility usage, rentals, and operational activities, including databases and correspondence.

Prepare and distribute correspondence related to facility rentals and event operations.
-
Coordinate with internal staff, graduate assistants, and other personnel to ensure smooth execution of daily operations and events.

Serve as a resource for information related to facilities, rentals, and event scheduling.

Assist with purchasing supplies or materials related to facility operations and events, as needed.

Perform other duties as assigned.
MINIMUM REQUIREMENTS:
-
Education: Bachelor’s Degree or equivalent combination of education and experience.
-
Experience / Knowledge / Skills: No prior experience required. Knowledge of word processing and spreadsheet applications. Verbal and written communication skills.

Ability to: Ability to multitask and work cooperatively with others. Ability to work with a wide variety of people. Ability to work nights and weekends.

Licensing/Professional Certifications: Valid driver’s license.

PREFERRED EDUCATION / SKILLS/ EXPERIENCE:

Experience supporting event operations, facilities coordination, or program administration.

Experience working in an athletics or higher education environment.

Experience coordinating logistics with multiple stakeholders or external partners.

Strong organizational and customer service skills.
SUPERVISION OF OTHERS:
May provide coordination and task direction to graduate assistants and student workers; no direct supervisory responsibility.
