The Department of Homeland Security and Emergency Management (DHSEM) works to protect the people of New Mexico and the nation through a comprehensive and coordinated program of mitigating hazards, preparing for emergencies, preventing attacks, and recovering from disasters regardless of cause. Our department prepares for a wide variety of emergencies, including wildfires, flooding, health crises, and domestic attacks. When necessary, the state assists localities whose capabilities are overwhelmed, and DSHEM serves as the conduit for federal assistance. Our work in emergency management is coordinated around the five mission areas of the National Preparedness Goal: prevention, protection, mitigation, response, and recovery.
Why does the job exist?
The Office Support Coordinator exists to ensure the efficient and effective operation of an office by providing comprehensive administrative, clerical, and operational support. This role serves as a central point for coordinating office activities, managing records and information, and supporting staff and leadership. This position will do a broad range of duties including, office management, records maintenance, scheduling, data processing, fleet and facilities coordination, and project support. The Office Support Coordinator enables the organization to function smoothly, maintain compliance with policies and regulations, and achieve its operational objectives.
How does it get done?
This position will:
- Provide administrative and clerical support, including preparing documents, correspondence, reports, and maintaining files and records.
- Manage office communications by answering phones, responding to inquiries, greeting visitors, and coordinating information flow.
- Schedule and coordinate meetings, appointments, training sessions, and maintain calendars.
- Enter, update, and maintain data in agency systems and databases; utilize office technology and software to support operations.
- Assist with fleet and facilities management, including vehicle coordination, maintenance scheduling, and office equipment needs.
- Support the LESO program by tracking, coordinating, and maintaining records for surplus property and equipment.
- Maintain records management systems and ensure compliance with agency policies, regulations, and retention requirements.
- Assist with special projects, events, process improvements, and other duties that support organizational operations and efficiency.

Minimum Qualification
High School diploma or equivalent and one (1) year of experience in office administration, customer service, records management technique and procedures, basic accounting, and/or business administration. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling one year (1) year may substitute for the required experience.
Employment Requirements
Employment is subject to background investigation and is conditional pending results. Must possess and maintain a valid Driver's License. Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course Certification as a condition of continued employment.
Working Conditions
Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Some sitting, standing, bending and reaching may be required. Voluntarily carry Department issued cell phone for official use without compensation. Subject to recall during disasters and other emergencies. Work on weekends, holidays and shift work may be required during emergency and/or disaster situations.
