Job Summary
We are seeking a dynamic and highly organized Office Administrator/Receptionist to join our team! In this vital role, you will be the first point of contact for visitors and callers, ensuring a welcoming and professional environment. You will manage daily administrative operations, coordinate schedules, handle correspondence, and support office functions with efficiency and enthusiasm. Your proactive approach and excellent communication skills will help keep our office running smoothly while providing exceptional customer service to clients, vendors, and team members alike.
Duties
- Greet visitors warmly, direct them appropriately, and manage front desk operations with professionalism and friendliness
- Answer multi-line phone systems promptly, using proper phone etiquette, and direct calls to the appropriate personnel
- Manage calendar appointments, schedule meetings, and coordinate office events using Microsoft Office and Google Workspace tools
- Perform data entry, maintain filing systems, and ensure accurate recordkeeping for administrative documents
- Support bookkeeping tasks using QuickBooks or similar software to track invoices, expenses, and financial records
- Assist with clerical tasks such as proofreading correspondence, preparing reports, and managing incoming/outgoing mail
- Provide customer support by responding to inquiries via phone or email efficiently and courteously
Requirements
- Proven office management or administrative experience in a fast-paced environment
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
- Experience with multi-line phone systems and excellent phone etiquette
- Bilingual abilities are highly desirable to serve diverse clients and team members effectively
- Knowledge of QuickBooks or bookkeeping experience is a plus
- Exceptional organizational skills with the ability to prioritize tasks and manage time effectively
- Previous experience as a receptionist or in a medical/dental office setting is advantageous
- Strong clerical skills including proofreading, filing, and document management
- Personal assistant experience or calendar management skills are beneficial for supporting executives or teams
