Qualifications:
- 1 year in a customer service role, ideally a phone-based role preferred
- Field / office experience in HVAC industry not required, but is a PLUS
- Well versed in Microsoft Office application (Word, Excel, Outlook)
- Ability to multi-task: talking to a customer while typing notes, checking a map, and looking up account info.
- Basic computer proficiency — you'll be using a CRM/dispatch system, email, and maybe some mapping tools. Speed and accuracy with typing matters
Job Duties:
- Answer incoming calls promptly and professionally via Email and Phone— many of them from facility managers, building engineers, and property managers who need help urgently. Internal staff from other divisions also request service for their projects.
- Enter service requests into our CRM arcuately and quickly. Communicate all new service requests to Dispatch. Gather key details.
- What’s happening, what equipment is involved, any error codes or symptoms and the customer’s priority level.
- Generate monthly Preventative Maintenance work orders and coordinate with Dispatch to get them scheduled on time while considering priority and availability.
- Planning and scheduling – highly organized while showing the ability to be flexible and adaptable while coordinating service with the Dispatch team.
- Communicate estimated arrival times, delays, and job updates back to the customer — proactively, not just when they call again in collaboration with Dispatch.
- Excellent communication skills in a high-pressure work environment while dealing with customers and employees.
- Maintain a calm, helpful tone even when a customer is stressed.
- Follow up on large open tickets to ensure the issue was resolved and the customer was satisfied.
- Assist the Outside Sales team with tracking job leads to resolution.
- Assist with any other administrative work that may arise.
